Job Description

Strategic Occupancy Planner Workplace & Occupancy PlanningWhat this job involves:Managing space portfoliosHow do you manage space through data As a subject matter expert, you ll manage capacity, demand and supply for a specific client s workplace. Driving occupancy plans, sequencing group or individual level moves, and resolving planning issues will be your responsibility. While you recommend and enforce policies and procedures, maximizing space under all scenarios and driving solutions to increase productivity will be your goal.

  • Applies the top-down headcount projections by business unit for a rolling, three-year planning horizon and works with Portfolio Strategy team to inform strategy
  • Analyzes the client s portfolio and identifies opportunities to optimize space for all orgs within the existing portfolio and new acquisitions
  • Tracks and reports projected versus actual headcount by business unit
  • Develops site-specific planning strategies with Senior Leadership and Portfolio Strategy
  • Reports the current supply and capacity, and forecasts inventory changes for a rolling three-year timeframe
  • Collects preliminary program requirements for each Org/Team (by building, if necessary)
  • Develops migration plans and sequencing of group-level moves / relocations
  • Incorporates occupancy strategy into long-range strategy documents to clearly articulate impacts to individual sites and org-level allocations
  • Develops stacking diagrams by market, by building and by floor reflective of current state and future state based on three-year demand forecast (top-down headcount projections)
  • Maintains and secures business units agreement to migration and stacking plans
  • Informs scopes, phasing, schedules and budgets for project implementation based on stacking plans / strategy
  • Ensures planning is aligned with corporate guidelines, and that all scenarios support short long term growth and business requirements
  • Recommends and applies space policies/standards, procedures and protocols
  • Educates local contacts/vendors on planning and space policies/standards, procedures and protocols, and notifies planning manager if they are not being followed
  • Develops, maintains and reports space allocation plans, and if applicable, issues space allocation reports.
  • Review Site Audit Data (including seat assignments, occupancy, vacancy, labs & equipment) and partner with local Space Planner for validation needs/timing
  • Implement/Support the Mobility Program, including analysis of badge data and utilization studies to inform planning recommendations
  • Measure, Monitor and report cost saving and value added contributions
  • Assists in Issuing the Quarterly Report: The quarterly report includes: headcount projections, supply and capacity information and the status of major initiatives (a real estate action plan) for the portfolio; monthly space allocation data, group block plans
  • Supports development of long-range strategy documents, incorporating occupancy strategy at a building and org level into overall planning narrative
  • Migration and Stack Plans by market, site, floor level
  • Allocation Floor Plans (Org L2-L4) actual and proposed
  • Facilitates and/or resolves issues identified in portfolio planning meeting
  • Attends kick-off meetings for new real estate acquisitions, major renovation projects and project moves
  • Facilitates communication between other occupancy planners, space planners, CAD & Space Managers, and other Real Estate team members
Key stakeholders managementOne of your key responsibilities will be to foster critical relationships with various stakeholders, which will need you to establish crisp and fast communication channels. Planning the projected requirement versus actual need will need your attention, as you assist senior leadership in site-specific planning strategies and guide other members of the occupancy planning team to develop cross-campus portfolio strategies. To ensure successful portfolio strategy implementation, accurate reporting of information, and foster critical relationships between various individuals and organizations, communication channels will exist with:Group-level leaders to collect top-down headcount forecasts, collect business requirements, obtain alignment with strategic plan, and resolve allocation forecast discrepancies; provide regular reporting specific to Org Occupancy at site level
  • Portfolio Strategist(s) to review and resolve geography-specific forecasts, needs, concerns, and issues;
  • Space Planners and CAD-SDM Team to ensure accuracy of planning database information; and
  • Space Planners to review and resolve campus/building-specific, needs, concerns, and issues including bottoms-up forecasts
  • Project Management / Facility Management / Space Planners to provide site specific programming information and review stacking strategies for feedback
  • Collaborate with Portfolio Strategy, Transactions, Project & Move Management, and Facility Management
Monitoring and reportingYou ll also be accountable for preparing and updating accurate project status reports, for which you ll work closely with the client to reconcile discrepancies. Likewise, this will demand your familiarity with typical occupancy metrics and industry occupancy trends.Sounds like you To apply, you need to be:Solid backgroundA Bachelors degree in architecture, design, consulting/advisory work or related field s what you must have along with 5 7 years of experience in a corporate real estate environment. Previous experience in space/occupancy planning at a strategic level, plus experience with interior office renovations is highly desirable. So is CAFM system experience.Tech-savvy
  • How tech-savvy are you Do you utilize software to support solutions and communicate ideas You will be successful if you have advanced skills in Microsoft Office suite, Proficient in CAFM systems and Bluebeam, Proficient in Microsoft Excel i.e. (pivot tables, V-Lookups, cell calculations, formulas, etc.)Strong ability to convey planning strategy in written format incorporating supportive data and floor plans into concise presentations to client and lines of business. Ability to work in all of the Microsoft Office suite software technology. Conduct and actively participate in video conferencing meetings effectively. Your ability to ask the right questions, think strategically and make appropriate decisions to find solutions for our clients will be highly useful.
