Job Description

We are looking for an Executive Assistant to the chairman of our SPJ Group. You will be the one to maintain the chairmans schedule and assist them by performing a variety of administrative tasks.Executive Assistants must be quick professionals with good time-management and multitasking abilities. It is with their diligence and competence in their work that Senior Management can focus on their managerial responsibilities without worrying about other tasks.The goal is to contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried on timely and efficiently.Responsibilities

  • Act as the point of contact between the CMD and internal Team/external clients.
  • Maintain Marketing agenda and assist in planning appointments, meetings, conferences, and training, etc.
  • Attend sales meetings or any other meetings and keep minutes.
  • Receive and screen phone calls and redirect them when appropriate.
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages, phone calls, etc.)
  • Make travel arrangements for CMD like flight tickets, hotel arrangements, Visa arrangements, etc
  • Handle confidential documents ensuring they remain secure.
  • Monitor office supplies and negotiate terms with vendors to ensure the most cost-effective orders.
  • Maintain electronic and paper records ensuring information is organized and easily accessible.
  • Conduct research and prepare presentations or reports as assigned.
Requirements
  • Proven experience as an executive assistant or similar administrative role at least 3yrs to 5 yrs
  • Degree in business administration or relative field
  • Proficient in MS Office
  • Should be willing to travel (Must)
  • Should be willing to work till late hours
  • Candidate should be with less family responsibilities, and able to handle personal work also
  • Familiarity with basic research methods and reporting techniques
  • Excellent organizational and time-management skills
  • Outstanding communication
  • Integrity and confidentiality
