Our Commercial Contracts team draft, negotiate and manage contracts for Sophoss business worldwide. We are passionate about providing clear, practical guidance that empowers our colleagues across the company to move the business forward. Job Purpose As Sophoss Legal Administrative Assistant, you must be a team player who can not only strongly perform the more traditional administrative tasks, but who is motivated to take on projects. The successful candidate is very computer savvy and detail-oriented and can quickly learn new software applications. While you will handle the more customary administrative responsibilities such as filing, raising purchase orders, etc., you will also be responsible for tasks such as maintaining the groups intranet sites and updating/maintaining various databases and reporting dashboards. The ideal candidate will be someone who is proactive, has a passion for customer service, is extremely efficient, highly organized, discreet and very comfortable multi-tasking and juggling a number of priorities. This role will work closely with and support multiple members of the Legal team, as well as Sales and other departments, with their legal administrative needs across the globe, and will report to the Global Director, Commercial Contracts and Legal Operations. You will be responsible for Legal Administrative tasks, which have been listed under Main Duties. A successful candidate will demonstrate excellent written and spoken business communication skills, service oriented and customer friendly approach towards various departments within the organization, a go-getter attitude towards complex tasks, flexibility to support and contribute to tasks in global time zones. Main Duties Maintaining and organizing electronic and hardcopy files Daily filing, file management and oversight and general office administrative tasks given from time to time Maintaining and improving Legal department intranet site Maintaining and improving Legal department database dashboards and reporting tools Reviewing and submitting purchase order requests and partnering with Procurement and Finance departments in order to obtain information and solve problems Maintain substantive understanding of priorities and initiatives to help prioritize, manage and follow through on projects to bring them to completion Represent the Legal department with trust and professionalism as a key member of the team Assist with special projects as they arise Arranging notarization of documents, when required Arranging signature: Electronic and Hard Copy (IND); electronic where requested by Legal Dept team members Co-ordinating directors ink signatures in other Sophos offices, as and when required. Other duties and responsibilities as directed. Skills & Experience To succeed in this role, you will have: Administrative experience; experience in legal environment preferred Well organized; consistently completes tasks on-time with great attention to detail Proficient Microsoft Office (Office 365/OneDrive), Word, Excel, and Adobe Professional skills Ability to work well under pressure, prioritize and manage workload, manage simultaneous tasks and meet deadlines within a changing, fastpaced environment Must be able to work with highly confidential and sensitive documents and information and maintain such confidentiality to protect Sophos Build relationships with other departments in order to accomplish tasks and achieve goals Demonstrates Sophos values by participating in and fostering a positive work environment Essential: English language proficiency Sophos is committed to equality opportunity in all areas of its work.
