Why This Role Is a GameChanger for Your Career As a Customer Service & Order Entry Specialist at arenaflex, you will be the first point of contact for our valued clients, guiding them through pricing inquiries, product information, order placement, and postsale support. This is not just a clerical position; it is a strategic role that directly influences customer loyalty, revenue growth, and the overall reputation of arenaflex. You will work sidebyside with sales, invoicing, and operations teams, gaining a panoramic view of how a dynamic organization delivers endtoend service excellence. Key Responsibilities What Youll Own Every Day Customer Interaction & Relationship Building: Serve as the primary point of contact for inbound inquiries via phone, email, and chat. Provide accurate pricing, product details, and scheduling information while cultivating longterm relationships that encourage repeat business. Order Processing & Validation: Capture, verify, and enter customer orders into the ERP system with a focus on speed and 99.9% accuracy. Coordinate with inventory and logistics teams to confirm product availability and delivery timelines. Issue Resolution & Abnormality Management: Identify order anomalies, investigate root causes, and implement corrective actions. Escalate complex cases to the appropriate department while communicating status updates to customers. Invoicing Collaboration: Partner with the Invoicing Team to sort, scan, rename, and upload printed invoices to the SharePoint repository. Ensure that electronic versions are correctly formatted and promptly emailed to customers. Documentation & Data Integrity: Maintain meticulous records of all customer interactions, order confirmations, and invoice transactions. Perform regular audits to guarantee data consistency across systems. CrossFunctional Communication: Liaise with sales, service, and fulfillment teams to relay customer feedback, forecast demand, and support continuous improvement initiatives. Hybrid Work Coordination: While the role is based on our Colorado Springs campus, you will periodically work remotely, utilizing a personal smartphone for secure VPN access to arenaflexs internal platforms. Minimum Qualifications The Foundations You Bring 25 years of handson experience in customer service, order entry, or a closely related field. High school diploma or equivalent; an associate degree or relevant certifications are a plus. Demonstrated ability to manage multiple tasks while maintaining a high degree of accuracy and attention to detail. Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and familiarity with ERP or CRM platforms. Strong verbal and written communication skills, with a customercentric tone. Basic understanding of invoicing processes, document management, and SharePoint or similar collaboration tools. Ability to work independently with limited supervision, as well as collaboratively within a team environment. Preferred Qualifications What Sets You Apart Experience with cloudbased order management systems (e.g., NetSuite, SAP Business One). Certification in Customer Service Excellence, Lean Six Sigma, or related processimprovement methodologies. Prior exposure to a hybrid work model and comfort with remote collaboration tools (Teams, Slack, Zoom). Knowledge of industryspecific terminology and best practices in productbased B2B environments.
