Job DescriptionExperienced, reliable and task- oriented Executive Assistant. The Executive Assistant will work directly with Head GBS Regional Hub and will be responsible for performing a number of administrative duties. The incumbent is highly self- motivated, professional, capable of managing their workload and prioritizing tasks in a fast- paced corporate environment, and able to be exposed to confidential information requiring discretion, tact, maturity, diplomacy and good judgment. Completes a broad variety of administrative tasks for the Head GBS Regional Hub including: managing active calendars of appointments, completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and de- tailed travel plans, itineraries, and agendas; and compiling documents for travel- related meet- ings; logistics and communication support for recurring meetings. Plans, coordinates and ensures the Head GBS Regional Hub schedules are followed and re- spected. Provides gatekeeper and gateway role, creating win- win situations for direct ac- cess to the Head GBS Regional Hub. Prioritizes, and follows up on incoming requests and concerns addressed to the Head GBS Regional Hub, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. Successfully completes critical aspects of deliverables with a hands- on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Head GBS Regional Hub. Handles matters expeditiously, proactively, and follows- through on projects to successful completion, often with deadline pressures. Arrange corporate events, site activities, team off- sites and executives visits. General administrative support: Independently takes care of general administrative tasks and maintains the administrative processes (flights, accommodation, Visa, travel folder) Internal and external meeting organization (all aspects of meetings), offsite and internal, on- site support for conferences. Writes and distributes meeting minutes for various meetings Prepare and submit expense claims for Head GBS Regional Hub Provide support to the direct reports for the expense claims and tool, checking of expense re- ports, for all direct reports which have to be approved by the Head GBS Regional Hub Responsible for sending out some communication, cascading of announcements Proactively seeks and supports optimization of current processes and/ or introduction of new or modified processes. Create, maintain and manage generic distribution lists, mailboxes, folders and SharePoint sites for the Head GBS Regional Hub. Minimum requirementsBachelors Degree in any discipline Professional, written and spoken English Minimum of 4+ years of experience as an Executive Assistant reporting to senior management Advanced MS Office skills, with an ability to become familiar with firm- specific programs and software,
