Job Description

Position PurposeThe Secretary will be part of the CEO office team and will report to CEO directly. The Personal Secretary will be required to work autonomously but also collaborate effectively with the companys upper management and CEO. The function of this position is to seamlessly support the CEO and all CEO-led initiativesExperience: 6 to 8 years of executive-level support experience, ideally within a group setting and working with highly confidential and/or sensitive materialsLocation: BangaloreJob Type: Full TimeEducation: BBM/Secretarial course, office managementCTC: 6 LakhsKnowledge, skills and abilitiesProficiency in the use of computer programs for:

Roles and Responsibilities Provide administrative support in a variety of functions to the Chief Executive Officer that are focused on increasing the efficiency of the executive.
  • Assist CEO in his day-today business activities
  • Collaborate to maintain CEOs complex calendars, coordinating every aspect of a busy calendar, which is subject to regular changes.
  • After gaining knowledge of cycle/schedules, proactively schedule internal meetings between employees and CEO
  • Facilitate video conference and web-based meetings with other global offices.
  • Schedule all appointments, meetings, conferences, Interviews etc.
  • Welcoming and handling Company Guests & VVIPs
  • Maintaining records pertaining to various membership Handling all business communication independently both with internal & external stake holders
  • Co-ordination with all functions for MIS reports / information, data collation & presentation Systematic approach for keeping confidential files/information, periodic up-dation and timely retrieval.
  • Research and book complex international travel arrangements that are subject to regular change, and, following established processes, compile travel documents for CEO.
  • Prepare and organize pre-meeting and post-meeting materials and reports as needed.
  • Collaborate to submit all CEO expenses whilst following an established expense reporting process.
  • Respond to email inquiries in a timely and professional manner.
  • Coordinate every aspect of meetings with outside visitors.
  • Manage physical and network-based files and documents.
  • Manage confidential emails.
  • Proactively and reactively handle ad hoc requests for CEO.
  • Answer phones, manage voicemail and appropriately respond to external calls.
