Job Description

Primary Duties and Responsibilities:

Lease Administration

  • Prepare lease abstracts, and input lease abstracts into the system
  • Input move-in information into system
  • Prepare and send Lease/Rent Commencement Letter based on move-In form
  • Maintain lease files
  • Assist with lease abstracting during due diligence
  • Generate preliminary monthly rent charges from system
  • Generate and send actual monthly tenant rental invoices
  • Prepare tenant notices for annual base rent escalations based on CPI, % increases or step rents
  • Set up operating expense reconciliation formulas in system
  • Prepare operating expense pools
  • Load operating expense pools into system
  • Prepare tenant invoices in system
  • Monitor monthly Security Deposits required vs. Security Deposits on Hand
  • Monitor tenant insurance certificates as required by lease system
  • Prepare rental income projections for budgets based on lease information maintained in the system
  • Other duties typical of lease administration position or other duties/projects as deemed necessary by Director of Property Management to fulfill department (or company) objectives or needs
  • Accounts Receivable

  • Post cash applications to tenant accounts
  • Post/send monthly miscellaneous billings, i.e. late fees, TSR s, utilities, as initiated by PM documentation
  • Process tenant move-out based on PM move out form in system, confirm final billings, initiate security refund and set up vacancy
  • Correspond and communicate with tenant as necessary
  • Reporting/Accounting

  • Prepare monthly rent roll
  • Prepare aged delinquency report on the 10th of each month and EOM
  • Prepare monthly late letters to tenants
  • Prepare monthly vacancy/occupancy reports
  • Work with Project Accountant and PM staff on monthly/quarterly variance reports
  • Miscellaneous reports as needed by Accounting and PM
  • Monitor lease critical dates (renewal options, termination options, etc.)
  • Work with Property Management team in development of annual budgets and reforecasts
  • Knowledge/Skills:

  • Working experience in a Windows environment and use of MS Office operating system
  • Detailed knowledge and experience with Yardi Voyager
  • Good organization skills with ability to work in a multi-tasked environment
  • Good written, oral and interpersonal skills
  • Qualifications:

  • 3-5 years of experience in commercial real estate lease administration and accounting
