Job Description

Role: HR & AdminJob Brief:As an Assistant Manager-HR & Admin you will be required to work one-to-one on a wide variety of matters and should be flexible and organized to meet the demands of our growing organization. You must also exhibit impeccable organizational skills and multi-tasking ability.Responsibilities:Admin:

  • Receiving incoming calls and emails; take messages, respond appropriately and route correspondence to the appropriate executive of staff member.
  • Handling requests, feedback and queries quickly and professionally
  • Receiving clients, guests and service providers at the office.
  • Maintain filing system for essential correspondences & documents, as well as company reports to clients and rep office records (Insurance, Office Equipment Service Maintenance, etc.
  • Maintaining a ready supply of office stationery, business cards, pantry supplies (coffee, fruit etc.).
  • Managing a mailing list for company communication/business development purposes;
  • Handling logistics for meetings, interviews, client visits.
  • Handling travel arrangements for employees/guests/clients as necessary;
  • Keeping the company credentials document updated monthly;
  • Maintain strong relationships with vendors and keep price data to get best pricing on supplies and services
  • Renew newspaper and magazines subscription
  • Handling and keeping tabs on office maintenance matters, track employee birthdays and coordinate engagement activities along with the HR team.
  • Assist the new joiners with work place allocation, email id and slack id creation, system allocation, organizing the induction kit along with the HR team.
HR:
  • Recruitment-First level screening of the candidates, managing the resume data base, Interview-coordination.
  • Leave Management-Tracking Biometric swipe records, attendance registrar LOPs for both Chennai and Dubai branch.
  • HR Filling-Maintain and update employee files as per the checklist, maintain hardcopy of resume database and HR policy documents.
  • Payroll-Process the payroll data for both Chennai and Dubai Branch in coordination with the HR.
  • Joining Formalities-In co-ordination with the HR roll-out the offer letter for entry-mid level recruits, complete the pre-joining documentation, arrange for the logistics, travel and accommodation for Chennai Branch (In case of outstation candidates).
  • Onboarding-In co-ordination with the HR & IT, arrange the Induction kit, allocate work-station and system Id creation (Email, Slack, Okta, Kissfllow etc), Bank Account opening, new sim card, accommodation assistance(Need basis).
