Given below is your job description which you are required to follow, kindly read through and sign in the duplicate copy.Secreatry to Unit HeadTo take dictations and prepare all necessary letters / circulars.To organize for weekly executive meetings / other meetings.Collecting data from all the department for Group MIS (Management Information System), Performance Review Report, Apollo XI programme, Snap Shot 4 blockers.To receive fax message and forward to the concern department without any delay.To discourage the patient / attendants who approach us for discount.To remind General Manager about important meetings.To prepare occupancy report on daily basis.To coordinate the paper coming for General Manager Approval.To manage telephone directory.To update the press clipping file.File managementTo coordinate for any communication to top management through fax.To give appointments to the visitors and coordinate with them whenever necessary.Learning and DevelopmentTo collect and analyze the department training need and feedback evaluation forms and therefore identifying training needs.To organize and conduct induction programs for all the new recruits.To plan, organize and conduct developmental programs for the executives, supervisors, staff and workers.To identify in-house faculty for the training sessions, to conduct in-house skill development programs with the approval of Head of the department (HOD)To prepare different types of training programs as and when assigned by the HOD.To organize Train the Trainer programs for the identified line managers and supervisors who will be the internal source persons supporting the HR department.To assess the performance of the individual and provide coaching to comply with performance standards set by the organization.To provide continuous training to all staff members in the department to improve performance / familiarize with latest techniques & technology.To maintain the relevant records in the department with respect to personnel, materials, equipments and process.To be responsible for the documentation and preparation of course materials for various training sessions. Monitoring on the job training programs that are carried out by every departmentEvaluation of the training programs by conducting post evaluation test for its effectiveness.To plan and ensure required resources are available in place for the smooth functioning of the department.To study and implement cost effective methods and procedure in the department to ensure optimal efficiency.To prepare annual budget and operate the expenses within the approval of management.To participate and contribute to departmental quality initiative.To be aware of departments performance and objective.To carryout data collection/support in data collection.To adhere the safety norms of hospital and follow both patient safety and staff safety rules.To ensure all the employees are trained/oriented about the quality systems of the department.,
