Job Description

The role Facilities Manager Monitor Assurance Administer. The position is responsible for facilities management services, and also responsible for stakeholder management on behalf of Mace Macro to Client. The position is responsible for managing the deliverables of in house services, and third party vendors. Managing all Supply Partner s performance against the back to back Service Level Agreement as well as reviewing Key Performance Indicators of the contract. The position will manage the client head quarter and branches contained within the Abu Dhabi, Sharjah region, also including the Managing Agent countries of Egypt, Iraq and Lebanon. Functions under direct management is the Assistant Facilities Manager and management of the Mace Macro Supply Partners. Your responsibilities will include: Operational Risk The requirements Your experience, knowledge and skills need to include : Future Focus: Experience in managing multiple supply partners to delivery optimised performance at multiple country levels Influencing Right Outcomes: Ability to work with the supply partner for the best outcome while making sure the supply partner remains compliant with policies and the contract. Ability to articulate and influence the supply partner towards expected performance People Management: Excellent people skills, communication, team building, partnering techniques and mentoring skills are required Managing Change: Needs clarity and ability to interpret and implement contractual change Role Modelling : This role must exemplify the values of both Mace Macro and the bank and the partnership, influence behaviours and change.This individual will have the maturity to act on behalf of client through Mace Macro while working with the Supply Chain Partner to deliver the contracts requirements Making it Happen This role is about on the ground engagement with the bank and the Supply chain at a country level and must understand all the service levels and be able to work with the supply chain partner to introduce solutions. Must have driven, energy, patience and an ability to get the best solution out of supply partners. Business Acumen This role requires commercial and contractual savvy and a clear understanding of how Mace Macro and its supply partners will provide a superior service delivery. Experienced with output based, multi- service contracts and partnerships at a country level Be commercially astute enough to identify and implement country contract variations through the change control process with global sourcing department of client Supply Partner Management Experience in managing multi service real estate contracts at a country level. Experience of procurement methods and contractual terms and conditions relating to relevant services. Strong knowledge and experience of performance management of partnerships. Qualifications Responsible for contract management and delivery of the integrated facilities workplace management Manage contractual implication of change Conducting site visits to ensure the look and feel standard are maintained to the highest standards Responsible for monitoring and upkeep of client artefacts within the site portfolio Financial monitoring (i.e. Invoice review and validation) Collating and sharing performance data (i.e. KPIs) with the performance manager Managing soft service KPI & SLA compliance in coordination with the supply partners Risk monitoring (i.e. financial due diligence, risk assessments) Conducting comprehensive periodic sampling as per the new SLA and KPI set up for the outsourced contract and review against deliverables Analysing and validating Mace Macro and supply partner s monthly/ quarterly/ annual services delivery report Monitoring supplier tools Driving implementation of periodic reviews Participating in material sub- contract reviews Individual process to identify poor performance or compliance gaps and track action plans to close gaps Interpreting bank policies, standards etc. for Mace Macro and supply chain where required. Coordinating and requesting support from senior workplace manager, or regional team as required Maintaining strong presence in front of stakeholders to address all their concerns and issues in timely fashion Ensuring all material risks are identified on a risk register, assessed, mitigated, monitored and reported Ensuring applicable external laws and regulations and internal policies, procedures, limits and other risk control requirements are implemented and complied with Propose control enhancements to ensure that any known risks are controlled within acceptable boundaries and to consistent standards Aligning business (or functional) strategy with risk appetite and seek to optimise the risk- return profile of the business Setting the right tone for the risk management culture of the team in internal communications and performance objectives The position is required to establish and implement an effective program of control reviews that verify that the process(s) you are responsible for are operating as designed and control are working effectively. Demonstrable Experienced in managing contracts Soft Service & FM management experience Experience in managing Stakeholders and Clients Degree holder or equivalent Mace is an equal opportunity employer.
