Job Description

    Administration and Finance Officer (AFO) will be primarily responsible for the day-to-day accounting work and financial management (including payments processing) of the respective SU/SR. S/he will adhere to GFATM, as well as organizational level financial and administrative policies and procedures, and will prove administrative and HR related support to the state team.Roles and responsibilities: Responsible for managing the finance and administrative aspect of the State(s) Adherence to Organization Policies and Procedures Entering of accounts into Tally on daily basis Maintenance and updating of various vouchers Maintenance of petty cash. Ensure all legal compliances are adhered with regards to Financial Management Maintain the project accounting on daily basis Meeting Reporting timelines like Monthly Financial Report (MFR) and Quarterly Financial Report (QFR) along with Forecast. Monthly/Quarterly Fund flow planning. Safekeeping and proper filing of all finance. documents Logistic support for Travel of staff / meetings / work shops Maintain the project staff HR files, Tracking the appraisal process. Involve in salary disbursements to state teams Ensure all the Records are updated on regular basis Ensure Assets safekeeping and updating of Fixed Assets Register Coordinate with HR for HR related activities (Support for job advertisement, interview and selection process) Procure the supplies for the project based on organizational policies Attend office wise meetings and team meetings Travel to project locations (40% of the time) and head office as per project requirement Support during donor visits such as Local Funding Agency (LFA), OIG Support during Grant/ Internal/Statutory and project audits Ensure effective / optimum utilization of the budgets Maintenance of Fixed Asset register and regular updates. Preparation of Budget Variance report Ensure Value for Money.Administration Responsible of office administration including: Maintenance of various registers (attendance, Movement, assets, communication, visitors etc.) Provide logistics support for various meetings, trainings and travel undertaken by State/Project Director, Programme Manager, Technical Manager, M&E Officer and during visits by PMU and other stakeholders Coordinate/provide logistics support within the Unit Involve in procurement as per Organization Procurement Policy Involve in Medical/Accident Insurance Policy processing as required for state team Provide logistics and communication support in recruitment and selection of various staff Provide communication assistance (telephonic, email and other modes of communication) Follow procedures pertaining to logistics assistance and update all required support documentation AFO will support Chennai office based on the necessity (common cost debit note work and other Chennai office work as and when it required)Job Type: Full-timeSalary: 45,000.00 - 50,000.00 per monthBenefits: Cell phone reimbursementSchedule: Day shiftAbility to commute/relocate: Chennai, Tamil Nadu: Reliably commute or planning to relocate before starting work (Preferred)Education: Bachelors (Preferred)Language: Tamil, Hindi and English (Preferred)Willingness to travel: 25% (Preferred)Speak with the employer91-XXXXXXXXXXExpected Start Date: 01/11/2023,
