This in turn helps us to provide better support to our broad client base.Overall Activities:To deliver all administrative tasks in the department and provide timely and accurate support to the unit for all administrative work and support functions. CRES- Management: Take care of the Property and facility related issues such as Aircon, Chairs and desk. Assist Employees with access card related request. Arrange and report pest control on weekly basis. Arrange Visitor card access for vendors and stakeholders. Prepare and send PEEP forms. Prepare the list and Organising for the fire warden and fire marshal activity on quarterly basis. Office modification.Transport: Track the travel roaster and submit the recon report to payroll SPOC for travel payouts. Arrange ADHOC request Travel arrangements for BCP and team outing.Asset management: Raise Audi for procuring Desktop/Laptops printer s & Stationery and others on a timely basis. Raise RMS for the installation and follow up for a timely delivery of asset. Coordinate raising changes requested and activation of ports & arranging computer accessories for the department. Manage Xerox billing for both Chennai and Bangalore. Data correction and system tagging.HRMS Payroll: Process HRMS Payroll on monthly basis and forward to HR for both Chennai and Bangalore. Attendance and Payroll processing for temp staff salary with the vendor. Coordinate with user for Relocation and movement of goods.Finance: Process staff reimbursement bills for items like stationeries, office maintenance, and computer peripherals etc. and forward to FSSC department. Provide monthly accrual to finance for forecasting.Procurement: Raise PR for team requirements i.e Team outing, Stationary requirements. Vendor billing management before cut off date.Meeting Room maintenance: Take care of meeting room bookings. Set up of Video Conference using ATV for multiple locations. VC Setup during Town hall across countries.EFG: Coordinate and organise the events. Coordinate with the vendor and CA for the AV setup. Maintain gifts and articles related to EFG.Staff Welfare: Distribute gifts to the team provided by the CA.(Id cards, t-shirts.)Travel desk: Coordinat with travel desk for any travel requirements of the team. Process Invite letter and LERMS letter to the stakeholders aboard and in India locations. Hotel and car bookings.Visitor Management: Maintenance of access cards to visitors Manage room booking, travel arrangements organise food and beverages Organise workshops (stationeries and adhoc).
