Job Description

This role will require working closely with the UK People Function Lead (PFL) and the Performance Leader Lead (PLL) as well as the wider People Leadership Team (PLT) to provide high-quality operational support for all People Function and Performance Leader central activities in the UK.This role requires a high degree of discretion, proactivity, forward thinking and resourcefulness while across multiple planned and ad-hoc activities.The successful candidate will be expected to network and build links with Senior Stakeholders within the wider People Function and across KBS and become that go-to person for operational excellence support.Working as a Senior in the team, your responsibilities will include:People Function operational activities:

  • Support the PFL in workforce planning for monthly recruitment cycles. Collating and processing all recruitment requests centrally and submitting them in line with agreed processes and timelines.
  • Maintain current Organizational Chart and Staffing Inventory of all People Function teams, working closely with the Team Leads
  • Working with the People Function Team Leads and PFL to ensure the People calendar is kept up to date for the financial year. Logging activities from high level projects to business-as-usual dates to remember.
  • Co-ordinate the Business Continuity and Disaster Recovery plan for the People Function and work with colleagues in QRM and across KBS to ensure that plans and regularly reviewed, tested, and updated.
  • Be the interlink between the IARC s Team and People Function teams to fore fill time critical Internal Audit assessments across the People Function. Work with the PFL and IARCS to ensure IA findings are reviewed and action plans agreed and resourced/timetabled, supporting teams to strive for the successful completion of IA actions. Work with the PFL and IARCS to prepare regular reporting for the Audit Committee and Operations Executive, providing input/presenting updates at monthly update calls on behalf of the Function.
  • Work closely with the One Intranet team to ensure the data stored on our Intranet pages is current and relevant and is a true reflection of the People Function offerings and linked to the main Service Catalogue.
  • Manage and maintain the People Function Service Catalogue in line with KBS
  • Support the PFL to deliver the KBS People strategy within the People Function and across KBS.
  • Support the PFL in drafting function wide communication on a monthly basis
  • Supporting other COE leads with ad-hoc requests
Performance Leader operational activities:
  • Support the PLL in the delivery of operational activities for our Team lead and PL community across the UK firm.
  • Overall support of day-to-day activities, including management of the PL Management system within Appian to include activities such as processing incoming and outgoing Performance Leaders, Cost Centre and Performance Leader alignment allocation changes. Work closely with the People Analytics Team and SAP finance Teams to ensure the data in Finance and SuccessFactors are always aligned.
  • Monitoring and maintaining the PL Mailbox, Teams pages and Distribution Lists. Regular Team Lead and PL analysis statistical reporting analysis.
  • Maintaining the PL SharePoint site ensuring the data stored and published is current and always correct, in line with current activities and trends.
  • Planning and co-ordination of monthly Performance Leaders calls attended by c.250 colleagues and also provide presentation support delivery and all post-course activity.
  • Adhoc PL projects that require a high level of discretion.

  • bachelor s degree would be essential.
  • At least 5-8 years of relevant experience in a similar role, preferably in a recruitment operations role with a professional services/recruitment consultancy firm
  • Should be proficient with excel and PowerPoint. Strong knowledge of macros will be an added advantage.
  • Should have project management experience on various short term and long term projects
  • Articulate, with excellent written and verbal communication skills. Should have strong executive presence,
  • Excellent attention to details and high level of proactivity is a must
  • Adept at managing senior stakeholders
  • Personal drive and positive work ethic to deliver results within tight deadlines and in demanding situations without compromising on quality, and ethical standards and values
  • Ability to work with various onshore leads and on multiple projects planned and ad-hoc.
  • Open to working in UK shift (2 pm 10:30 pm)
