Personal Assistant | The House of MG Personal Assistant The House of MG Job Title Personal Assistant Department Admin Job Description A personal assistant (PA) typically carries out administrative work on behalf of one individual.This individual is usually a manager or executive in a commercial. The role of a PA is to free anexecutives time from organizing and administrative tasks so that they can spend maximum timeon strategic tasks. Responsibilities typically include:acting as a first point of contact: dealing with correspondence and phone callsmanaging diaries and organizing meetings and appointments and MDs, often controllingaccess to the manager /executivebooking and arranging travel, transport and accommodationorganizing events and conferencesreminding the manager /executive of important tasks and deadlinestyping, compiling and preparing reports, presentations and correspondencemanaging databases and filing systemsimplementing and maintaining procedures /administrative systemsliaising with staff, suppliers and clientscollating and filing expensesIt is also possible for a PA to work for a wealthy family or individual, instead of for acorporation. If this is the case, the work of the PA may also cover home or personal lifemaintenance tasks.Organize inbound emails into the appropriate folders and any relevant information to becopied into the correct file on the hard drive.Respond to emails as much as possible, dealing with appointments, requiring Bio or photosetc.Ensure busy diary commitments, papers and travel arrangements are managed effectivelyincluding producing a daily folder with diary, necessary papers etc. and troubleshootingproblems.Conduct daily diary meetings with the MD to discuss upcoming engagements, invitations andother requests.Schedule on behalf of the MD meetings between him and his direct reports and thecommittees and groups to which he is a member.Coordinate travel and accommodation requirements in connection with others and ensurearrangements in place for the MD match his requirements.Filter general information, queries, phone calls and invitations to the MD by redirecting ortaking forward such contact as appropriate.Ensure the MD is fully briefed on, or prepared for, any engagements he is involved in.
