Job Description

Management will be responsible for seeking & securing sponsorships, event theme building, creating event programs, communicating with event attendees & donors, contracting vendors, coordinating event logistics, timelines and tasks as necessary for event production. Key elements of the job include:Preparing event concept note and concept note for all the workshops, event marketing material, brochuresPreparing proposals for pitching to potential sponsorsManaging a micro-site for the event on the GF websitePreparing database of conference inviteesPreparing event agendaIdentifying speakers for different sessionsPreparing letters of invitation for speakers and telephonic follow upCoordinating an Advisory Committee for the event and hosting Advisory Committee MeetingsWork with an event management company to manage all the event related logisticsVenue booking and overseeing all the logistics arrangements at the event venueTogether with Associate Manager- Communications, coordination with media outlets, PR firms etc to ensure wide publicity for the eventOverseeing the preparation and publication of various analytical reports to be released at the conferenceDeveloping a protocol for online and off-line registration and oversee registration processMaintain pro-active communication with all the stakeholders, advisory committee, resource persons, special invitees and event attendeesLiaison and coordinate with the advisory committee, speakers, key resource persons & event sponsorsExperience and Qualification:Commitment to eradication of poverty and alignment with Grameen Foundations missionPost Graduate/ PG Diploma preferably in a relevant field from a reputed institution3+ years prior experience coordinating large (500+guests) special events with experience of managing VIPs, C-level executives and celebritiesExperience with integrating social media into event planning and executionSuperior time management skills, multi-tasking abilities, team playing skills.Budget management and negotiation skillsAbility to accomplish projects independentlyGood report documentation skillsExcellent interpersonal skills with a high level of professionalismExcellent written and verbal communication skillsExperience with hiring and managing vendors for event productionStrong computer literacy especially Microsoft Excel, Word and PowerPoint and website management
