Job Description

Core AccountabilitiesOutputs and Agreed Method of Measurement(How will we know when this has been achieved )Support & Manage MD s Office Operations

  • Provide a high level of confidential executive and administrative support to the MD India, including proactive and effective diary, calendar, and email management, ensuring that MD India is supported for meetings, events, conference, travel plans, claims processing and appointments.
  • Attend management meetings and keeping minutes. Organize and expedite work and make necessary follow-up actions to ensure deadlines are met. Interface directly with assignments and others at all levels of the organisation.
  • Maintain the records management system and administer the flow of correspondence into and out of the MD India office, including follow up actions.
Office Management
  • Develop, implement, and maintain office and administrative systems and process to ensure that process and requirement timelines are met and required follow-up action is taken. This will include managing and maintaining office rentals, vendor agreements, office equipment s, stationaries and managing financial & procurement process for administrative tasks.
  • Provide administrative support and coordination for office and other location PAN India including organizing meetings, Townhalls, forums, workshops and preparing a range of supporting materials.
Project Management & Communication
  • Communicate and liaise with all levels of the department and stakeholder and ensuring a high level of customer service and maintenance of effective working relationships.
  • Develop and Measure the effectiveness of internal communications message and adjust communications content/medium ongoing basis
  • Develop a wider understanding of our business, operations, and market environment in which the organization operates and lead short to mid-term project from time to time as assigned.
  • Represent and manage both visibility & participation of MD s office in key employee initiatives such as RECares, WoW, Events committee, Inclusion & Diversity , BCP and so on.
