Job Description

  1. Administrative Assistant
  • Complete Key responsibilities
Project Duration: 18 MonthsKey Notes:
  • Typical day in this role: Calendar Management, Travel arrangements, Expense Claim process; Morale events etc.
  • Minimum Relevant experience: 3 years in an ExecutiveAssistantrole with excellent communication skills. Requires high level of coordination and attention to detail and maintain confidentiality. So, candidate should be from an organization of repute and must be working in a similar capacity.
Job DescriptionCalendar Management:
  • Help the Director / SPL in planning their calendar for the year ahead and refresh the same quarterly with Key Events / Meetings Monthly, Quarterly, Half yearly and Annual
  • Follow up meetings to be setup as needed by the Director / SPL
  • Share the Calendar analysis with the respective leader to see the effectiveness of time
Travel Management:
  • Publish travel calendar beginning of the year based on the World-Wide calendar of events
  • Review the calendar for a rolling quarter
  • Travel check list pre, during and post travel check list to be published
  • Travel Preparedness Visa Application, Itinerary & Hotel booking
Expense Reports:
  • Expense Claim Management for LT, Verification of LT -1 expenses for LT Members approval;
  • Submit expense reports within a week of travel and maintain the records
  • Reconciliation between Amex credit card statement and expenses filed every 15 days
Others:
  • Visitor Mgt - Logistics to take care of visitors;
  • Morale Planning for Team Morale Events / Outing, Organizing All Hands;
  • Space Management for the respective Org;
  • Procurement - coordination with Business Support;
  • FTE / Vendor Onboarding and seat allocation;
  • Co-ordinating with IT / Lab team for Laptop & other assets issuance
  • Distribution Lists creation & management
Qualification and Expectations:
  • Minimum 3+ years of experience in a similar capacity supporting senior leaders
  • Excellent Communication skills - written and spoken
  • Flexible to work for extra hours when needed
  • Hands on experience with MS Office Suite
  • Bachelors Degree
Candidate Requirements:1 ExecutiveAdministration& multitasking Skills2 Strong Calendar Management and Expenses Management Skills3 Reporting Skills (MS Excel)
  • 3+ years of relevant Executive AdminAssistantskills
  • Candidate performance will be measured on types of challenges handled, people abilities, communication
  • Any degree education with relevant skills.
  • No disqualifiers as such but yes do not process profiles who have strong expectation to get converted post the contract tenure.
