Job Description

What is the Senior Administrative Assistant GSS Customer Operations group is responsible for

  • Under general supervision, Senior Administrative Assistant provides administrative support to the Directors and team to support Global Shareholder Services Operations team in delivering superior, cost effective service to customers.
What are the ongoing responsibilities of the Senior Administrative Assistant
  • Manage calendars, including acceptance and organization of both internal and external meetings, and the preparation/dispatch of paperwork, agenda and supporting documentation for meetings in adequate time.
  • Organize business travel, itineraries, accommodation and events, and manage associated expenses.
  • Build and maintain strong, professional relationships as a key contact for the team across the organization.
  • Develop new and maintain existing presentations.
  • Responsible for maintaining internal team social media & collaboration forums eg intranet, SharePoint, MS Teams and Yammer sites, including assigning correct access rights.
  • Maintaining team organization charts and, distribution lists.
  • Responsible for Budget tracking for Team.
  • Support Talent Management activities eg Position management tracking and Performance Management program activities.
  • Act as Business Continuity Coordinator (BCC) for the team.
  • Provide support and participate in Diversity & Inclusion related initiatives including co-ordination of communication and change management strategies.
Work on various projects or activities assigned:
  • Deal with confidential information in an appropriate manner.
  • Liaise with other senior staff throughout the company on behalf of the VP and DRs.
  • Deliver results on target to a high standard of quality.
  • Manage own workload and highlight issues.

  • 2+ years administrative experience in a professional environment.
  • Fluent in written and spoken English with excellent communication and interpersonal skills.
  • Solid time management, organizational and planning skills, and experience in interaction with executives and senior leaders.
  • Loyal, trustworthy and ability to maintain confidentiality and integrity.
  • Able to demonstrate professionalism through good working habits and the appropriate use of procedures and controls.
  • Results driven, a team player with good people skills.
  • Experience in mutual fund/financial services industry and in a multi-site/multi-cultural environment.
  • Pro-active, analytical with strong attention to detail and quality.
  • Strong organizational, administrative and time management skills and ability to handle multiple tasks.
  • Ability to interact with teams in a multi-site and cross functional environment.
  • Ability to work independently, priorities work and deliver expected results under pressure, within established and aggressive timelines in a changing environment.
