Job Description

  • Manage the workflow for ePrint jobs during you shift and ensure that the expectations of the print teams are managed.
  • Manage/perform technical and administrative aspects of the relevant processes for ePrint jobs including:
    • Data extraction and error checking
    • Manual rendering i.e. excels, drawings etc.
    • Sorting, merging, reformatting and converting of files
    • Updating JMS
    • Updating the stats on the time sheet
    • Assisting other teams (mainly EED), if necessary
  • Ensure that there is complete handover at the end of the shift.
  • Adhere to rigid Law In Order quality assurance processes (including use of Validator software) prior to the job being delivered.
  • Review and analyse incoming jobs.
  • Assign work to ePrint team members.
  • Check in with the analysts with regards to jobs to find out if they need assistance, the job is tracking on time and if the print teams have been properly updated.
  • Discuss prioritization of jobs with global print teams if necessary.
  • Adhere to workflow process and procedures including appropriate use of the Job Management System (JMS).
  • Liaise frequently with the Print departments to ascertain job requirements, confirm instructions and or changes of instructions.
  • Ensure that appropriate resources are available in order to process jobs within the agreed timeframes.
  • Provide assistance to other teams if required and request assistance from other teams if necessary.
  • Perform administration tasks including but not limited to:
    • Update ePrint stats for billing in a timely manner
    • Assist with any other administration requests relating to the ePrint.
    • Ensure that job folders are named and managed in accordance with the correct protocol.
  • Provide regular updates to print teams regarding the status of jobs.
  • Inform the print teams and the shift lead immediately if problems are expected with a job for example:
    • the job will not meet a deadline
    • there is an unexpected deviation from standard processes,
    • additional work is required due to the nature of the data, and
    • Significant change to the volume of documents.
  • Escalate issues to the ePrint Manager
  • Create shift reports at the end of the shift
  • Adhere to processes and procedures to ensure the work carried out conforms to Law In Order standards. Testing and upgrading ePrint tools, designing workflows. Assist with the development of workflow documents, protocols and procedures.
  • Assist with the training of new team members and the development of staff training materials as required.
Requirements
  • Competent in the use of MS Access/SQL.
  • Good understanding of relational databases.
  • Good understanding of eDiscovery processing tools i.e. Nuix, Law 6, iPro, Relativity.
  • Good understanding of common Microsoft file types and other business software such as Adobe.
  • Medium to High Level skills in Microsoft Excel.
  • Ability to work to tight deadlines and under pressure.
  • Ability to work on multiple tasks at any one time.
  • A methodical and structure approach.
  • An interest in technical processes.
  • High attention to detail.
  • Ability to follow through in a timely manner with all set tasks.
  • Solid written and verbal communication skills.
  • Tertiary qualifications of a relevant degree either in IT.
  • Relevant experience in eDiscovery and/or ePrint.
