Sr.Front Office Executive (1 Year Contract) Tracking Code 1537-679 Job Description This is a non-supervisory position responsible for performing Administrative support activities including front office management and Visitor Management. Roles and Responsibilities Front office Management Greet and receiving and visitors and directing them to appropriate staff Handling incoming and outgoing calls through EPABX Telephone system directing them to concerned staff Coordinates on Postal/Courier Services for out/inward courier New joiner welcome screen at front desk and lunch table reserved for the same Coordination with drivers for all the pickups and drops on respective official trip of USP Coordination with all services, travel consultant, security supervisor, security guard, housekeeping staff for smooth function of all activities Responsible in overall management of front office and surrounding areas neat and Clean Job Duties Taking care of all attendance related matters. daily manual cross verification Issuance of temp-card to employee and updation monthly reports to HR. Coordination with airlines, if any, delays in ticket or cancelation in tickets Ground transport arrangements for staff, for business trips Maintains staff birthday list updation of any new joinee and arranges flower bouquets for employee birthdays and flower arrangement at the reception Coordination with Purchase Department in Database updating Making up of meeting room s& board rooms on daily basis. Stationary indenting and management for the entire organization. Inspection of housekeeping stock and material Certifying travel invoices Taking care of accommodation at service apartments and hotel bookings for visitors Inspecting food at lunch hour on first arrival Providing business cards for senior level staff Guide for visitors of USP for site seeing Required Skills Good Communication Skills Experience in Admin activities and Front office management Required Experience 3-4 Years of Experience in Front office Management.
