Job Description

    Job Summary:The Front Office Executive is responsible for managing various administrative and operational tasks, including handling AMC (Annual Maintenance Contract) collection, managing outstanding payments, overseeing the dispatch of spare parts, and conducting banking-related tasks. This role requires excellent communication, organizational skills, and attention to detail to ensure seamless operations.Key Responsibilities:1. AMC Collection:Communicate with customers to renew or collect AMC payments.Track and maintain records of AMC renewals and payments.Address customer queries related to AMC services and contracts.2. Outstanding Collection:Follow up with clients for outstanding payments.Manage and update records of outstanding invoices.Coordinate with the finance team to ensure timely receipt of payments.Generate and send reminders for overdue payments.3. Spares Dispatch:Coordinate the dispatch of spare parts to customers as per requirements.Maintain accurate records of spares stock and dispatch status.Communicate with logistics and courier companies for timely delivery.Handle any issues or queries related to spares dispatch.4. Banking Work:Deposit cash/cheques in the bank as required.Handle day-to-day banking tasks including reconciliation.Maintain records of banking transactions.Coordinate with the finance team for smooth banking operations.Additional Responsibilities:Handle front desk operations, including phone calls, emails, and visitor management.Assist with administrative tasks and provide support to other departments as needed.Prepare and submit reports related to AMC, collections, and dispatch activities.Requirements:Education: Bachelor’s degree in Business Administration, Commerce, or a related field.Experience: 2-3 years of experience in a similar role handling collections, dispatch, and front office responsibilities.Skills:Excellent communication and interpersonal skills.Strong organizational and multitasking abilities.Proficiency in MS Office (Word, Excel, Outlook).Knowledge of basic accounting and familiarity with ERP software is a plus.Ability to handle confidential information with integrity.Key Competencies:Customer-oriented and proactive in follow-ups.Ability to work independently as well as in a team.Problem-solving skills and attention to detail.Ability to manage time effectively and
