Job Description

    Responsibilities:
    • Greeting and Welcoming Visitors: Being the first point of contact for guests, students, visitors, clients and customers, youll be greeting them warmly, make them feel welcomed.
    • Database Entry and Management - Properly recording and maintaining diverse databases including enquiries from students, artists, customers, guests, clients as well as student records with accuracy and timeliness.
    • Answering and Forwarding Calls: Handling incoming calls, transferring them to the appropriate department or person, and taking messages accurately are essential tasks.
    • Managing Correspondence: Handling emails, letters, and packages, and ensuring they are distributed or forwarded promptly.
    • Scheduling Appointments: Booking meetings and appointments for staff and visitors.
    • Providing Information: Offering information about the organisation, its services, and directions to various departments or facilities within the premises.
    • Handling Queries: Responding to inquiries from visitors, clients, or staff, and providing assistance or directing them to the right resource.
    • Maintaining Reception Area: Keeping the reception area tidy, organised, and presentable at all times.
    • Assisting with Administrative Tasks: Supporting administrative tasks such as data entry, filing, and preparing documents when required.
    • Coordinating with Other Departments: Collaborating with various departments to ensure smooth communication and operations.
    • Problem Solving: Resolving any issues or conflicts that arise at the front desk promptly and professionally.
    • Following Procedures: Adhering to company policies and procedures regarding front desk operations, confidentiality, and security.
    • Multitasking: Juggling multiple tasks efficiently, especially during busy periods especially events, to ensure all responsibilities are fulfilled effectively.
    • Maintaining Professionalism: Representing the organisation in a professional and courteous manner at all times.
