Job Description

Coordinate office activities and operations to secure efficiency and compliance to company policiesEnsure adherence to relevant company procedures and policies.Submit timely reports and prepare presentations/proposals as assigned (budget, expense, etc.)Manage budgeting and bookkeeping procedures.Supervise administrative and housekeeping staff and divide responsibilities to ensure performance.Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).Manage agendas / travel arrangements / appointments etc. for the team.Book meetings and schedule events (indoors and outdoors) for the team.Create and update records and databases with personnel, financial and other data.Track stocks of office supplies and stationeryand place order when necessary.Coordinate and participate in office space planning, maintenance and renovations when necessary.Maintain internal databases & employee records (physical and digital).Maintain a filing system for data on customers and external partners.Organize, store and print company documents as needed.Handle queries from managers and employees.Manage phone calls and correspondence (e-mail, letters, packages etc.)Direct visitors to the appropriate person and office.RequirementsProven experience as an office administrator, office assistant or relevant role.Outstanding communication (verbal & written) and interpersonal abilities.Excellent organizational and planning & execution skills.Familiarity with office management procedures and basic accounting principles.Excellent knowledge of MS Office and office management software.Excellent time management skills and ability to multitask and prioritize work.Prior experience of working in a start-up.Qualifications in secretarial studies would be an added advantage.Ability to be resourceful and proactive when issues arise.Problem-solving attitude with an eye for detail.Strong organizational and planning skills.,
