Job Description

    Open Position:Administration ExecutiveLocation:Malad (West), MumbaiExperience:1 to 3 YearsQualification:Any Graduate, Bachelors degree in Business Administration & Management.Department:Admin/Front DeskReports to:Director/HR ManagerPosition Overview:The Administration Executive plays a critical role in ensuring the efficient operation of administrative functions within an organization. This role involves managing various administrative tasks, coordinating office activities, and providing support to management and staff. The Administration Executive should possess strong organizational and communication skills, attention to detail, and the ability to multitask effective.Responsibilities:
    • Coordinate and oversee administrative procedures and systems to ensure organizational effectiveness, efficiency, and safety.
    • Manage office supplies inventory and procurement, including ordering, stocking, and maintaining appropriate levels of supplies.
    • Handle incoming and outgoing correspondence, including emails, letters, and phone calls, and redirect them as necessary.
    • Schedule and coordinate meetings, appointments, and travel arrangements for management and staff.
    • Prepare and distribute agendas, minutes, and other materials for meetings and conferences.
    • Assist in the preparation of reports, presentations, and documents as needed.
    • Maintain and update organizational databases, filing systems, and records.
    • Provide administrative support to various departments, including HR, finance, and operations, as required.
    • Handle confidential information with discretion and professionalism.
    • Liaise with external partners, vendors, and service providers to ensure smooth operations.
    • Troubleshoot and resolve administrative problems and inquiries.
    • Assist in the implementation of administrative policies and procedures.
    • Conduct research and compile data as needed for various projects and initiatives.
    • Support the recruitment process by posting job openings, scheduling interviews, and assisting with onboarding activities.
    • Perform other administrative tasks and responsibilities as assigned.
    Requirements:
    • Bachelors degree in business administration, management, or a related field preferred.
    • Proven experience as an administrative assistant, office administrator, or similar role.
    • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
    • Excellent organizational and time management skills with the ability to prioritize tasks.
    • Exceptional communication skills, both written and verbal.
    • Attention to detail and accuracy in completing tasks.
    • Ability to work independently with minimal supervision and as part of a team.
    • Flexibility and adaptability to changing priorities and deadlines.
    • Professional demeanor with the ability to interact with individuals at all levels of the organization.
    • Discretion and integrity when handling confidential information.
    • Problem-solving skills and the ability to think critically.
    • Experience with office equipment such as printers, scanners, and fax machines is a plus.
    • Knowledge of basic accounting principles and bookkeeping practices is desirable.
    • Previous experience in project management or event planning is an advantage.
    • Willingness to learn and take on new responsibilities as needed.
