Job Description

    Description:We have an urgent opening for the position of Administration Manager (Film Production House)for a reputed company at the(Andheri)Mumbai Location.
    • Manage the Admin and housekeeping teams to provide a safe, hygienic and fun workplace and facilities for the Organisation, its employees, contractors, clients and suppliers
    • Liaison and tie up with Hotels and travel agencies/flight operators
    • Effective vendor management including contract management and meeting cost targets
    • Support to HR engagement and other internal teams to smoothly run various initiatives including office events, festive events, Rewards and recognition programs, Diwali gifting etc
    • Management of the office infrastructure including ensuring routine maintenance, repairs, AMC renewals, insurances etc to minimize disruption to work and minimize inconvenience
    • Responsible to lead the response to any emergency and preparing and regularly upgrading the emergency response plan to various foreseeable emergencies
    • Responsible for complying with various rules and certifications that are related to theAdmin / facilities function, including but not limited to, Shop and establishment, Covid or pandemic related government notifications etc.
    • General office administration of all CSF office premises
    • Ensuring Employees Attendance Records and Mis. Register check
    • Ensures a safe, secure, and well-maintained facility that meets environmental, health, and security standards
    • Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions.
    • Allocation and Supervision of Workstation and common areas
    • Looks after the administration matters, scrutinizing bills / vouchers and recommending thesame for payment
    • Ensure timely procurement of material requirements on most competitive rates
    • Identify the competent agencies for supplies, security, housekeeping and canteen facilitiesand to ensure their smooth functioning
    • Liaise with the local government authorities such as the municipal corporation, telephone service providers, electricity and water services etc. for the smooth functioning of the offices
    • Supervise the routine administrative functions such as housekeeping, security, canteen and ensure smooth functioning
    • Ensure safekeeping and maintaining of all official records
    • Arrange periodic safety related training and maintain the record of the same
    • Reimbursement for conveyance, canteen, and travel, out duty assignments / entertainment expenditure related to administration staff.
    • Manager Repair and maintenance expenditure
    • Routine printing jobs / stationery / consumables / peripherals / accessories expenditure.
    Candidate Profile:
    • Very good people, interpersonal, influencing, and communication skills while dealing with employees across levels
    • M.B.A. from a good B-School
    • Experience in Exposure to dealing with operational matters within a complex and dynamic business context characterized by different cultures, management styles, systems, and procedures
    • Experience of working in a Matrix reporting setup
    • Knowledge of statutory compliances
    • Conflict resolution/mediation skills
    • Experience in administration and management
    • Good level of numeracy and fast, accurate word-processing skills
    • Ability to prioritise and cope with last-minute changes and ambiguity
