Job Description

Assistant Lease Administrator ManagerInternational Property Services What this job involves Detail-oriented and organisedYou are the go-to person for Data Base matters in the team! With a proper filing system, you will be responsible for preparing and keeping track of all Lease agreements, Abstractions and Reports.Maintaining database and reportingA high degree of independence is required on a day to day basisAct as the primary contact for interaction with all parties to keep the lease administration database current and accurateFinancial Knowledge on Accruals Budgeting, Variance Report etc.Primary duties and responsibilities include the following:Liase with internal and external parties to obtain appropriate lease documentationManage document workflow to ensure team responsibilities are completed in a timely mannerGenerate monthly reporting package for client which includes critical date and portfolio summary reportingComplete an audit of works completed by JLLs Lease Administration teamsComplete Operational Expense Reconciliation on behalf of our clients and update our Lease Administration systemWork closely with colleagues within other Lease Administration teams to ensure workload is completed in a timely and accurate mannerAssist in the transition of new accounts into JLL responsibility. This may include audits and process testingObtain and review landlord invoices to ensure adherence to lease requirementsGenerate Accounts Payable reporting and prepare invoices for paymentPerform Accounts Receivable reportingGenerate Accounts Receivable reporting and communicate with client on outstanding paymentsComplete all duties with a focus on cost avoidance for our clientsObtain, track and report on Insurance and Security deposit matters (where applicable)Communicate with clients, landlords and tenants when requiredEnsure our processes and procedures are maintained to ensure adherence with all internal and external compliance policiesPrepare monthly client invoices (where applicable)Generate client aging reporting and liase with clients to ensure fee collection (where applicable)Manage ad hoc projects to ensure clear communication on progress and timely completion of all assigned tasksTraining of new staff members when requiredSound like you To apply you need to be:Database ExperiencesDo you have experience of processing Lease abstraction and reporting You will need to! It will also be ideal if you have 6-7 years of prior experience with Portfolio applications and Excel.University graduate (Commerce / Finance Background) or equivalent work experience in lease administrationGreat CommunicatorCan you communicate your thoughts clearly both verbally and in writing You ll be working with many diverse interest groups in different countries so the way you share information and your ability to persuasively convey information is highly important.Strong attention to detail and good organizational, interpersonal skills required;Knowledge of real estate leases and accounting would be useful;Demonstrated ability to maintain and manage accurate data;Demonstrated ability to prioritise work within tight operational and financial deadlines;Good interpersonal skills to operate as a pro-active member of a small core team;Positive approach to meeting clients needs;Sound computer skills in Microsoft Word and Excel;Experience in using a property management/lease administration system.What we can do for you:At JLL, we make sure that you become the best version of yourself by helping you realise your full potential in an entrepreneurial and inclusive work environment.
