Job Description

Our client is a Marketing and Analytics company which powers brands to improve their customer experience and revenue. As the Executive Assistant and Admin , you will be responsible for helping the founder and the leadership team and be more productive by managing their day to day work, meetings, calendars etc. What you will do:

  • Managing an extremely active calendar of appointments
  • Composing and preparing correspondence that is sometimes confidential
  • Arranging complex and detailed travel plans, itineraries, and agendas
  • Compiling documents for travel-related meetings
  • Successfully completing critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks
  • Updating and maintaining phone lists and managing contacts to conduct up-to-date database entry, tracking VIP relations and correspondence
  • Facilitating employee engagement by familiarizing himself/herself with various life events (such as birthdays, and other major milestones)
  • Providing complex travel arrangements - Being familiar with the specific, detailed needs of the leadership team
  • Working in a professional and focused manner to schedule internal and external meetings
  • Preparing for meetings including ordering lunch, booking conference rooms, setting up projector or video conferencing units
  • Taking notes and distributing meeting minutes and agendas and other duties as assigned
  • Managing all the record keeping jobs for the leadership team

  • Good verbal and written communication skills
  • Proficient in Microsoft Office (Word, Excel, and PowerPoint), Adobe Acrobat and Social Media web platforms
