Job Description

    The position requires providing high-level confidential administrative support to the office of the CEO. Duties may be clerical, administrative and project-based and include scheduling travel, arranging meetings, handling information requests, compiling information, preparing reports, take dictation and write correspondence and liaising within and outside the organization. This position is privy to confidential information and as such, requires diplomacy and discretion.The individual in this role must be a self-starter, someone who thrives in a fast-paced and ever-changing environment, with an uncanny knack and passion for learning and is comfortable with data and analytics. They should understand business priorities, demonstrate the ability to proactively anticipate needs and drive improvements to build capacity for the leadership team.Requirements:
    • Education Degree in business administration or related field preferred.
    • Experience 5-8 years of administrative/secretarial work experience.
    • High level of flexibility and openness in both the hours available for work and also the type of jobs.
    Must have:
    • Proven admin or assistant experience
    • Knowledge of office management systems and procedures
    • Excellent time management skills and ability to multi-task and prioritize work
    • Attention to detail and problem-solving skills
    • Excellent written and verbal communication skills
    • Proficiency in MS Office
    Primary role and responsibility:
    • Personal card and account management Verification and reconciliation of the expenses and making timely payment of the dues for cards, membership accounts etc.
    • Office system management Ensuring timely approvals on the Companys internal applications and systems such as HRMS, invoicing etc. and highlighting the irregular activities.
    • Calendar Management - Maintaining project teams calendar to showcase all key events that needs to be planned.
    • Meetings Management - Maintain executives agenda and assist in planning appointments, meetings, conferences etc, meet and greet visitors at all levels of seniority, attend the meetings and maintain the minutes.
    • Travel Management - Co-ordinating with visitors including preparing itineraries, agendas, assisting in travel arrangements, preparing and reconciling expense reports.
    • Documentation - Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.), take dictation and prepare letters, emails and presentations.
    • Provides a bridge for smooth communication between the CEOs office and internal departments and stakeholders.
