Job Description

    PositionManager - Administration and FacilityLocationMumbai - Lower ParelReporting toChief Manager Admin & FacilitiesSpecific Responsibilities
    • Housekeeping: To induct Housekeeping agencies at new offices and to maintain the agencies at existing offices to the levels specified in the manual and as per control standards
    • Security: To induct Security at new offices and to maintain the agencies at existing offices for complete site protection and loss control.
    • Procurement of all office equipments except those under Infra schedule as per the manual guidelines and acceptable standards. To operate the CAPEX process and maintain liaison with vendors.
    • AMC & Maintenance of all procured office equipments in all the offices.
    • Vendor Management:
    • Employee Services: Implementation and co ordination of the car lease scheme as per the guidelines of the lease plan scheme in vogue and to ensure timely payments of EMIs and administration of the CLA schemes
    • Amenities during New Branch Start Up:Co ordination of placement of various agencies as mentioned above and office equipment during office start up at new locations also coordination with infra to attain real time info on 0ffice contract signing by infa and prep intimation to admin.To audit the go live checklists once received from the admin rep on site at a new office that has been declared fully operational after renovation etc. Ensure that all contracts with respect to facility providers, such as housekeeping, security, equipment AMCs, CLA agreements, car lease, vendor empanelment are maintained in the central admin repository. As also to ensure that all these agencies are adhering to the statutory norms in vogue at that particular location.
    • Contracts: To receive and put into the central repository all contract copies that infra gives us in respect to new offices that are signed on and established.
    • Facilities Coordination with admin reps pan India to ensure the above responsibilities are met as per the company laid down timelines.
    • Budget Tracking: To track and control the facilities budget and ensure that there is no negative variance.
    • Cost Saving: To audit processes and innovate new measures to save cost by streamlining or adjustment in resource flow, thereafter to suggest the implementation plan and expected savings targets in real monetary values.
