Job Description

Roles and ResponsibilitiesMANAGER LOGISTICS - Responsible for all affairs of assigned project Logistics in terms of Commercial and reporting from project country officer /coordinator. Closely work with department head on all matters on the pricing and commonly implement plans and solutions. Mutually backup the operations for project deliveries being handled by other colleague and support all activities in his absence.Key Result AreasCommercial & Freight Forwarder relation Objective To ensure competitive sea & air pricing and coordination on deliveries.

  • Preparation and issue of Request for Proposals
  • Conduct negotiations with Freight Forwarders (in support and concurrence with Logistics Manager/ Head)
  • Evaluate and negotiate through comparatives for each project.
  • Single point of contact for Proposals team for logistics pricing containers, break bulk and airfreight.
  • Review comparative statement along with concerned Logistics Manager for management approval
  • Engage country team and evaluate their participation for dealing with country-based forwarders.
  • Administer Freight Forwarders contracts and payments.
  • Forwarder s payments:
o Checking the Invoice for Freight forwarder for payment purpose o Obtain the approval from finance and request/ follow-up work order from Project Management team o Follow up with Accounts Team for Vendor s payment.o Logistics disputes and resolution in coordination with logistics manager and department headAnalysis, Documentation & Regulatory (Analysis / Reporting and Regulatory)Objective To monitor and ensure timely passing of logistics invoices ,
  • Create trend-based reports for periodic management review for logistics performance.
  • Coordinate regularly with on the ground logistics team as an extended support with local operations.
SAP entries
  • Preparation of purchase order in SAP as per agreed terms with vendor.
  • Approval of purchase order from concern head in SAP
  • Vendor Invoice booking in SAP (MIGO)
  • Original Invoices send to accounts section for MIRO entries in SAP.
  • Vendor bills reconciliation as per SAP balances.
Project Country OperationObjectiveTo ensure all order creation for logistics vendors are done in SAP to ensure are higher control of our operations. (Effective Oct 1, 2020)ObjectiveTo review, coordinate and ensure smooth deliveries at destination through nominated forwarder and regulatory clearances. Take accountability of resident logistics person during the course of project deliveries.
  • Be nominated to visit project country during the delivery and guide the country logistics representative on the monitoring, follow-up with project team and exception management.
  • Take accountability from local logistics nominee on a daily update and involve department head for any deviation whatsoever.
  • Tracking of deliveries of cargo at destination site and return of empty containers to shipping line by forwarding agency.
  • Co-ordination with project site team and logistics counterpart for arrangement of require documentation and submission for clearance receipts for further reimbursement / submission to client.
