Job Description

    The NGO Administrative will play a crucial role in supporting the administrative functions of our organization. They will work closely with various teams and departments to ensure smooth operations and contribute to the overall efficiency of our NGO.Responsibilities:
    1. Provide administrative support to various departments within the NGO, including but not limited to, finance, programs, human resources, and fundraising.
    2. Manage incoming and outgoing correspondence, including emails, phone calls, and mail.
    3. Maintain and organize filing systems, both electronic and physical, ensuring easy retrieval of documents when needed.
    4. Assist in scheduling meetings, appointments, and travel arrangements for staff members and management.
    5. Prepare and distribute agendas, minutes, and other relevant materials for meetings.
    6. Assist in maintaining and updating databases and contact lists.
    7. Support the procurement process by obtaining quotes, placing orders, and ensuring timely delivery of goods and services.
    8. Assist in the preparation and submission of grant proposals, reports, and other documents as required.
    9. Help coordinate logistics for events, workshops, and conferences organized by the NGO.
    10. Assist with basic bookkeeping tasks such as recording expenses, processing invoices, and reconciling accounts.
    11. Collaborate with team members to streamline administrative processes and improve organizational efficiency.
    12. Adhere to organizational policies, procedures, and guidelines at all times.
    Qualifications:
    1. Bachelors degree in business administration, social sciences, or a related field preferred.
    2. Previous experience in administrative roles, preferably within the NGO sector.
    3. Strong organizational skills with the ability to prioritize tasks and manage time effectively.
    4. Excellent written and verbal communication skills.
    5. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
    6. Attention to detail and accuracy in all tasks performed.
    7. Ability to work both independently and collaboratively in a team-oriented environment.
