The office administrator & secretary will be a Single Point of Contact for the team based out of Mumbai. The role is crucial to efficient day-to-day operations of the company between the teams in Mumbai & several vendors and Head Office team in Goa.S/he willmulti-task to support the organisation growth, setting up & organizing the Mumbai office , be Tally efficient, daily operations, finding solutions, and organized in a variety of ways including book-keeping, communications, scheduling, data entry, secretarial services and much moreKeyAccountability
  • Managing & Maintaining all office correspondence which include emails to vendors, associates and HO teams
  • Sourcing of vendors, file maintenance on them and managing correspondence with them to run operations
  • Single POC between Mumbai & Goa teams
  • Tally entries, basic accountancy, sharing bills, invoices, payment correspondence with Accounts, vendors, suppliers etc. Maintaining payment registers and files.
  • Managing calendars, email correspondence, travel/ Visas, for the management and business
  • Liaising with Government officials for licenses, paperwork, permissions, or local government bodies, required out of Mumbai etc.
  • Support events that are run by the business that include press, official parties, parties organized at guest requests, etc.
  • Managing various office activities that include internal office requirements, partners, vendors, new events & launches, etc
  • Negotiate with vendors for best prices, deliveries in time, ensuring smart business operations. Creating & checking contracts with them as needed
  • Setting up Standard Operating Procedures (SOP) for smooth functioning of day-to-day operations
  • Managing clerical or other administrative staff
  • Support paperwork required for new set-ups like new business set-up, day-to-day operations, employee papers, contracts, etc
  • Co-ordinate all paperwork required for license renewals, quality audits like ISO, TUV, etc
