Job Description

Role Overview

Calypso Technology is seeking an Office Manager who will play an important role to maintain a great office environment at our India offices (Mumbai, Pune). Our Office Manager is responsible for handling the front office reception and driving key administrative activities to facilitate the smooth running of our office. The role encompasses a wide gamut of tasks ranging from directing important communication to personnel, running our fruits/snack program to organizing exciting quarterly events and wellness initiatives in the company! The right candidate will have a strong sense of ownership and bias for action. He/ She should be a positive, approachable and customer focused who puts people first and works towards increasing the overall productivity of the office.

What you will be doing

  • Provide full administrative support to Mumbai and Pune offices, to include answering high volume switchboard in the absence of a switched board, mail distribution, office cleanliness, maintaining office supply and fruits/snacks inventory, preparation of outgoing mail and packages, ensuring operation of general office equipment and filing as needed.
  • Remotely support the regional offices
  • Will be playing the role of an individual contributor.
  • Event planning to include scheduling and coordinating internal/external meetings, quarterly event, ESG, wellness activity and other office events logistics & catering.
  • Coordinate and arrange travel, including assistance on visa applications for regional employees.
  • Consistent availability and ability to serve as a central contact to people inside and outside the company: employees, customers, vendors, visitors, and building management.
  • Manage and support the Finance team with preparing and maintaining financial accounts and facilities budget
  • Manage and maintain employee benefits
  • Take care of the new hire orientation process and other wellness initiatives in the company
  • Facility management with AMC Contracts to be handled
  • Social and cultural care taken of the office
  • Assist with employee induction to include new hire orientation and other administrative items
  • Assist with employee transfers and relocations
  • Support other office managers when required
  • Assist with special projects as needed

What we are looking for

  • BA, B Com or BS degree
  • 5+ years of relevant work experience
  • Experience in a Financial Services environment a plus
  • Good organizational skills as well as a proactive nature
  • Ability to multitask, prioritize and execute in a fast-paced environment
  • Professional demeanor and good customer service skills
  • Must be highly detail-oriented, accurate and flexible
  • A creative person with the ability to suggest improvements and attention to details
  • Proficient skill with Microsoft Excel, Word, PowerPoint, Outlook
  • Good judgment, high levels of integrity and quality at all times
  • A responsible individual able to execute with minimal direction
  • Ability to work with confidential information and to be tactful and discrete
  • Possess the ability to work independently and create a productive work environment.
