Job Description

An Expense Management Associate is responsible for providing financial and accounting tasks related to the maintenance and processing of vendor payable account records, invoices, employee Travel & Entertainment expenses etc. on an accurate and timely basis and in accordance with the companys policies. Expense Management provides management with expense analysis in order to support companywide cost control objectives.Role Requirements

  • Receive and verify invoices, purchase requisitions for goods and services, approves and files employee expense reports in accordance with the companys Travel & Entertainment policies and procedures.
  • Verify that transactions comply with financial policies and procedures.
  • Verifies submitted expense reports for proper documentation, accuracy and completeness. Identifies circumstances where further information is required.
  • Maintain & update vendor master files.
  • Review payable accounts to ensure that information is properly recorded and the records contain appropriate authorization for payment.
  • Administer and ensure that entered items have the correct company codes, expense types to account pay vendors and employees properly.
  • Cost Code documents according to company procedures.
  • Expedite RUSH and SPECIAL payments and returns any improperly submitted documentation for correction by vendor or requestor.
  • Check figures, postings, and documents to ensure that they are correct, mathematically accurate, and properly coded.
  • Perform critical research using departmental and other administrative systems concerning issues such as duplicate payments, policy violations, and unauthorized spend.
  • Work with internal business units to resolve any expense queries.
  • Ensures all documentation associated with area(s) of responsibility is maintained, remains confidential and is properly shared.
  • Multi-task and work under time constraints.
  • Perform other related duties as required.
  • Interacts effectively with others by using strong interpersonal skills to support a strong team environment and influence relationships with customers, both internal and external.
