Job Description

    Key Responsibilities:
    1. Calendar Management:
      • Schedule and organize appointments, meetings, and events for the Director.
      • Manage the Directors calendar, ensuring optimal time utilization and prioritization.
    2. Communication:
      • Serve as the primary point of contact for internal and external communications directed to the Director.
      • Draft, proofread, and edit correspondence, emails, and reports on behalf of the Director.
    3. Travel Coordination:
      • Arrange and coordinate travel plans, including transportation, accommodation, and itineraries.
      • Provide the Director with comprehensive travel briefs and support during trips.
    4. Meeting Support:
      • Prepare meeting agendas, documents, and presentations as required.
      • Attend meetings, take minutes, and distribute them to relevant stakeholders.
      • Coordinate follow-up actions and track progress on tasks assigned during meetings.
    5. Document Management:
      • Organize and maintain files, records, and documents related to the Directors activities.
      • Ensure confidentiality and secure handling of sensitive information.
    6. Task Prioritization:
      • Assist in prioritizing tasks and managing the Directors to-do list.
      • Anticipate needs and proactively address them to enhance the Directors efficiency.
    7. Relationship Management:
      • Foster positive relationships with internal and external contacts.
      • Act as a liaison between the Director and other team members or departments.
    8. Administrative Support:
      • Handle general administrative duties such as phone calls, email management, and office supplies procurement.
      • Prepare and submit expense reports on behalf of the Director.
    Qualifications:
    • Bachelors degree or equivalent work experience.
    • Proven experience as an executive assistant or in a similar role.
    • Excellent organizational and time-management skills.
    • Strong written and verbal communication abilities.
    • Proficient in Microsoft Office Suite and other relevant software.
    • Discretion and confidentiality in handling sensitive information.
    • Ability to work independently, prioritize tasks, and meet deadlines.
