Job Description

    JOB DESCRIPTIONJob Title Accounts and Administrative OfficerReports to Managing DirectorDepartment Accounts and AdministrationMain PurposeDetail oriented, well organized individual capable of dealing with manufacturers,subcontractors and suppliers, answering phones/emails, delivery tracking and generaloffice duties etc. Knowledge of Microsoft Office and adapt at learning other softwarepackages is essential. The main duties include functions to support inventory integritymanagement and order processing.Plan and execute all administration related work at the office.To be successful in this role, you should be proactive, meet deadlines under pressure, amultitasker and communicate effectively. Our ideal candidate would be a self-starter withan eye for detail. In addition, undertake whatever duties are required of you pertaining tothe smooth running of the office and assistance with administrative tasks as and whenrequired.Main Duties Ensure all incoming bills and payments are entered in software or records rightly andpaid timely. Ensure stock of all items in warehouse is maintained and updated at all timesand maintained in record as required. Issuance of debit note to vendor in case of rejection or return. Solid experience with office management systems, ERPs and MS Office.Review PO claims and contracts for conformance to company policy & making MISreport. Invoices received form the suppliers are checked and verified with order specificationbefore releasing the payment. Maintain records related to Finance department like Invoice, Sales Order etc. Receive and verify accuracy of Incoming and Outgoing Shipments in addition toResearching Order Discrepancies while monitoring Open Sales Orders. Deal with customer supply queries whether directly or in conjunction with the Quality/Regulatory Team Resolve vendor or contractor grievances and claims against suppliers. Arrange todisposal/sales/use of surplus materials or non-moving materials. Maintains budget for monthly expenses for purchases. Maintains all account related documents of the company. Record profit and loss statements. Maintaining timely salaries to all employees. Submission of all bank-related documents for all material processing related activitiesand companys accounts. Act as the point of contact between executives and employees/clients. Create regular reports and update internal databases. Make travel arrangements. Facilitate internal communication (e.g., distribute information and schedulepresentations). Respond promptly to managers queries. Suggest more efficient ways to run the office and troubleshoot malfunctions. Review and recommend changes to company policies Knowledge of office procedures.
