Job Description

    • Oversee Office Operations:Manage and oversee the day-to-day operations of the office to ensure a smooth and efficient working environment. Ensure that all office equipment and systems are functioning well and that employees have the resources they need to work effectively.
    • Office Supplies Management:Track office supplies and inventory, and place orders for replenishment as necessary. Maintain an organized stock of stationery, office equipment, and other essentials to support daily activities.
    • Scheduling & Coordination:Coordinate and schedule meetings, appointments, and travel arrangements for employees and executives. Ensure that meeting rooms are prepared, travel itineraries are accurate, and all logistical details are managed efficiently.
    • Correspondence & Document Management:Prepare and manage office correspondence, reports, and documents. Ensure that all paperwork is properly filed and that communication is streamlined and effective across the office.
    • Financial Administration:Handle financial tasks such as invoicing, managing budgets, and tracking office-related expenses. Assist in the preparation of financial reports and ensure adherence to budget constraints.
    • Internal & External Communications:Act as the point of contact for both internal employees and external stakeholders. Manage phone calls, emails, and other forms of communication, ensuring that all queries and requests are addressed promptly.
    • HR Support:Assist with HR functions, including onboarding new employees, maintaining personnel records, and ensuring smooth integration into the company. Help organize and maintain employee documentation and HR files in accordance with company policies.
    • Compliance:Ensure that the office complies with company policies and procedures, as well as any relevant local labor laws. Maintain up-to-date knowledge of compliance requirements and assist in regular audits or checks.
    • Event Coordination:Assist in organizing company events, meetings, and team-building activities. Ensure that all logistics, from venues to catering, are planned and executed smoothly.
