We aim to attract the best and brightest people, whatever their background, to bring new perspectives to some of the most complex and inspiring projects around the world.The opportunityBe a part of our facilities management business that oversees work for leading organisations across the public and private sectors around the world.Our Asia Pacific hub started in 2004 and has successfully operated in a wide range of countries, delivering project & programme management, facilities management and cost consultancy services.The role Assistant facilities manager - soft servicesAssisting in providing day- to- day administration of the property management team and operations management of the property while emphasising positive response to concerns of tenants and meet the investment objectives of the company.Your responsibilities will include:Developing and maintaining ethical, professional, and courteous relations with contractors and tenants. Proactively meeting and interacting with tenants. Assisting property manager and other staff during tenant fit- outs. Assisting property management team in day to day administration. Handling management of IT for property management team. Handling tenant complaints in conjunction with the property manager. Assisting with the management and development of all property personnel. Handling the administration and vendor management of all activities related to the physical operation of the property. Overseeing the housekeeping, fa ade cleaning, horticulture, pest and rodent control as well as garbage removal activities. Overseeing the uniforms, hygiene and sanitation of staff at all levels. Assisting property manager in fiscal activities of the property including, but not limited to: on- site accounting, operations analysis, budget preparation and management, business and financial planning. Managing and overseeing the front desk executives. Overseeing and monitoring work of executive housekeeper and outsourced housekeeping and fa ade cleaning staff. Assisting in tenant matters, including but not limited to: move- ins, move- outs, lease administration, billings, and key, cardkey, graphics requests. Maintaining the building access control computer and cardkey administration. Handling check out keys to vendors or repairmen as required and appropriate. Coordinating special activities and liaison functions for assigned team members such as meetings, interviews and travel arrangements including maintaining travel expense file for submission of expense reports. Officiating as senior property manager during absence. Ensuring overall upkeep of the property including external areas, basements, building common areas, main lobby, lift lobbies, staircases, terrace, common washrooms, back of office areas, etc. Helping in training junior staff as and when required. Complying with all company and statutory policies of state government or municipal authorities. Undertaking any additional duty handed out by the senior management or property manager. Successfully complete the Mace Macro training program. The requirements Your experience, knowledge and skills need to include:Five (5) plus year s professional working experience, with supervisory experience. P and L responsibility and budgetary experience. Ability to interact with employees, visitors and contractors with poise and diplomacy. Ability to maintain a calm demeanour in emergencies. Proficient in composing business letters, expositions, summaries, and reports, using proper format, punctuation, grammar, diction and style. Ability to speak before an audience with confidence, using appropriate communication skills and style. Ability to demonstrate strong initiative and customer service orientation. Ability to establish and maintain a cooperative working atmosphere among staff. Proficient in exchanging ideas, information, and opinions with others to formulate policies and programs and arrive jointly at decisions, conclusions, or solutions. Proficient in performing numerical and financial calculations. Proficient in analysing and interpreting various types of data in order to draw conclusions and solve problems. Proficient in Microsoft Office software. Physical abilities and working conditions:Ability to work indoors approximately 60% of the time and outdoors 40% of the time. Able to use auditory and visual senses to inspect building and detect emergency alarms. On occasion, ability to perform physical inspections of the property which may include climbing up and down stairs or accessing restrictive openings. Though occurrences are rare, able to be accessible 24 hours a day in case of an emergency and perform on- site operations management during natural disasters.
