Job Description

POSITION PURPOSE & QUANTITATIVE DIMENSIONS:

Provide dedicated customer service for International accounts. The DSRs provide additional service and support to our International customers and sales reps in order to promote the mission of World Class Customer Service.

ESSENTIAL JOB RESPONSIBILITIES:

  • Order Entry. SAP Order entry received via fax, email, phone and rush (customer purchase orders and rep sample orders). Responsible for tracking the order shipments for all modes of trans portaton (air, ocean, land, FCL, LCL, etc.)
  • Documentation. Prepare commercial invoices and packing lists for all outbound / customer shipments (from US or from Medline factory located in another country). Work with freight forwarders on the logistics of customer shipments, reviewing accuracy of all customs documents. Communicate booking request with factory and freight forwarders. Example documents potentially responsible for: COO (Country of Origin) Certificate, SLI (Shippers Letter of Instruction), SED (Shippers Export Declaration), POD (Proof of Delivery) and other container declarations for certain countries.
  • Manage backorders for assigned accounts on a daily basis.
  • Monitor and resolve account blocks for credit, pricing, sourcing, billing, etc. Check stock availability in Medline warehouses / factories and escalate to Inventory Management (IM), sales rep / management if issues arise. Work with IM when stock transfers or new item numbers (for direct shipment) are required. Provide ocean / air shipping quotes to customers.
  • Quality / Service. Proces OSIs (Operational Service Issues), RGAs (Return Good Authorizations), Quality complaints, and credits for customers & reps. These may result from shortages / mispicks, damaged freight, production failures, price dicrepancies, etc. and often require communication with management, divisions, freight forwarders, and/or factories.
  • Sales. Assist sales reps with quoting (Proformas) customers and SPAing pricing for their accounts. Upsell products and suggest alternatives to customers based on stock availability and profit.

SECONDARY JOB RESPONSIBILITIES:

  • Customer service back - up for other International DSRs. Phone coverage for the International department. Provide assistance to others as needed.
  • Perform additional sales responsibilities as needed. Setup new customer accounts with Customer Master Data. Assist sales reps / managers with small projects, setup items in Medline warehouses, and send customers Medline invoices per request. Ship samples from the divisions when they are not stocked in the sample room.
  • Other responsibilities. Approve air / ocean freight invoices and submit to A/P for payment.

JOB REQUIREMENTS:

  • Successful Medline CSR experience who consistently meets and/or exceeds expectations in performance and attendance and full - time availability.
  • Intermediate level of skill in Word and Excel with a desire to learn additional software applications as needed to support and enhance departmental goals.
  • Strong knowledge of Medline customer service processes and procedural guidelines; SAP screens directly and indirectly related to customer service and international logistics.
  • Strong knowledge of Inco terms and International logistics. Bilingual employees required to support specific regions of the world
