Job Description

    Company Profile: Company is an Indian pharmaceutical company based in Chennai, founded on 1 July 1992.Job Title: Executive Assistant to the ED Level shall be of a Junior ManagerLocation: Corporate Office, Gurugram (Haryana)Reports To: EDJob Summary:
    1. The Executive Assistant to the ED will provide high-level administrative support to the ED.
    2. This role involves managing the EDs schedule, coordinating Travel arrangements, overseeing office tasks, and representing the ED to internal and external stakeholders.
    Key Responsibilities:
    1. Schedule Management:
      • Maintain an up-to-date calendar for the CEO.
      • Coordinate and schedule meetings, appointments, and events.
      • Anticipate and prepare for the CEOs daily schedule.
    2. Travel Coordination:
      • Arrange domestic and international travel for the CEO and other team members as needed.
      • Ensure all travel logistics, including flights, accommodations, transportation, and itineraries, are well-organized.
    3. Financial Management:
      • Manage the CEOs credit cards, expenses, and reimbursements.
      • Keep accurate records of expenses and financial transactions.
    4. Guest Management:
      • Host and assist guests visiting the office, including clients, partners, and other stakeholders.
      • Ensure a professional and welcoming atmosphere during visits.
    5. Office Administration:
      • Oversee small office administrative tasks such as ordering supplies, maintaining office equipment, and handling mail and packages.
      • Keep the CEOs workspace organized and efficient.
    6. Communication:
      • Draft, proofread, and edit emails, reports, and other written communications on behalf of the CEO.
      • Maintain a high level of professionalism and confidentiality in all written and verbal communications.
    7. Follow-up and Liaison:
      • Follow up with internal and external contacts, stakeholders, and team members on behalf of the CEO to ensure tasks and projects are progressing smoothly.
      • Act as a liaison between the CEO and various departments.
    8. Project Monitoring:
      • Track the status of key projects and initiatives.
      • Independently identify and raise potential issues or concerns to the CEO for prompt resolution.
      • Draft, edit, and modify documents, agreements, reports, and other business-related materials.
    9. Meeting Participation and Follow-up:
      • Participate in meetings, take minutes of the meeting, and share them with participants.
      • Follow up with meeting participants based on action items and facilitate the completion of tasks, getting the CEOs attention as needed.
    Qualifications and Skills:
    • Proven experience as an executive assistant or similar role.
    • An MBA from a premier institute is highly desirable.
    • Strong organizational and multitasking skills.
    • Excellent command over the English language.
    • Proficiency in document formatting.
    • Exceptional attention to detail and a proactive approach to problem-solving.
    • Discretion and the ability to handle confidential information with the utmost integrity.
    Education and Experience:
    • Bachelors degree in a relevant field is preferred.
    • Previous experience in a similar executive support role of 3-5 years is required.
    Working Conditions:
    • Normally, the work hours are from 10:00 AM to 7:00 PM.
    • The standard workweek consists of 6 days
