Job Description

    Back Office Assistantsupports administrative and operational tasks within an organization, focusing on functions not directly related to customer service or sales.They handle data entry, record-keeping, document management, and scheduling, ensuring the smooth operation of various departments.Key Responsibilities:
      • Data Entry and Record Keeping:Accurately inputting and maintaining data, ensuring records are organized and readily accessible.
      • Administrative Support:Handling correspondence, answering phone calls, scheduling appointments, and managing office supplies.
    • Coordination and Communication:Collaborating with other departments to facilitate smooth workflows and address queries.
    • Process Improvement:Contributing to process improvement initiatives to enhance overall efficiency and accuracy.
    • Document Management:Organizing and filing both physical and digital documents, ensuring accurate record-keeping.
    • Data Management:Maintaining databases, updating information, and ensuring data accuracy.
    • Customer Support (Indirect):Assisting with customer-related inquiries and resolving issues, often in a non-direct customer-facing role.
    • Reporting and Analysis:Generating reports and analyzing data to support decision-making.
    • Training and Development:Assisting with training and onboarding for new staff.
    • Order Processing:Managing order processing workflows, including entry, tracking, and fulfillment.
    • Sales Support:Collaborating with the sales team, providing support, and utilizing sales tools.
    • Maintain the file room:Ensure files are reconciled regularly and maintain an organized workspace.
    • Work with IT:Collaborate with the IT executive to ensure proper hardware and software are in place.
