Job Description

Executive AssistantWe are seeking an experienced and dynamic Executive Assistant to provide executive level administrative support to our Clarity Business Unit Executive Staff. This position reports to the General Manager, Clarity Services.The Executive Administrative Assistant responsibilities include, but are not limited to, the following:

  • Maintain calendars, schedule appointments and meetings.
  • Takes minutes at Executive meetings & documents read-outs and take-aways to the team.
  • Help effectively manage time, meetings and travel for executives to focus on highest priority initiatives.
  • Effectively utilize travel and meeting policies and procedures to complete all aspects of travel arrangements (flights, hotel accommodations, and ground transportation); Prepare travel itinerary as required. Determine and obtain necessary passport/visa documentation if required.
  • Assist in the preparation of presentation materials which includes creating the presentation or other materials, as well as, by collecting and synthesizing information.
  • Manage executive s expense reporting and procurement through Oracle financial system.
  • Arrange logistics for client and internal meetings including travel support, meals, special services, technology requirements, and material preparation.
  • Welcome customers, guests and other internal Experian management as an ambassador for the business, as well as knowledgeably routing general inquiries to the right parts of the business.
  • Receive and manage incoming telephone calls/emails and requests in a timely matter. Will require the ability to resolve any routine to moderately complex inquiries and knowledge of when to escalate to the attention of the Executive.
  • Maintain utmost confidentiality by exhibiting appropriate discretion to protect and keep information confidential.
  • Support the Planning and implementation of special events and meetings.
  • Back-up to the other Assistants in Clarity.
Knowledge, Skills and Abilities:
  • 5+ years of proven success in an Executive Administrative Assistant role
  • Excellent oral and written communication skills which includes ability to proofread spelling, punctuation, and usage of business English
  • Pro-active, collaborative, service-oriented team player with high energy and positive disposition
  • Advanced working knowledge of PC desktop applications, including Microsoft Office Suite, specifically Excel and PowerPoint, which are required
  • Experience with Concur a plus
  • Experience with SharePoint a plus
  • Ability to multi-task, take initiative, prioritize, organize, be flexible, and work under pressure
  • Attention to detail and accuracy is crucial
  • Proven ability to demonstrate tact and discretion in preparing, disclosing and handling information of a confidential, controversial and sensitive nature
