Job Description

    As an Executive Assistant (E.A.) supporting the Managing Director (MD) in our company, your role is crucial in ensuring the smooth operation of daily tasks and responsibilities. Your proactive and organized approach will be key to maintaining effective communication and coordination between the MD, internal teams, and external stakeholders.Key Responsibilities:- Manage and coordinate the MDs daily schedule, appointments, and meetings efficiently.- Handle email communication, draft official letters, and manage correspondence effectively.- Screen and manage incoming calls, ensuring important ones are forwarded to the MD promptly.- Ensure all follow-ups are completed effectively and on time to support the MDs workflow.Coordination & Follow-ups:- Facilitate smooth communication between the MD and internal teams for streamlined operations.- Rigorously follow up on assigned tasks and deadlines with employees and external stakeholders.- Maintain a delegation sheet to track commitments and task completion timelines accurately.Data & Documentation Management:- Utilize MS Office tools (Excel, Word) for generating reports, data entry, and documentation tasks.- Manage confidential documents, records, and reports with the utmost discretion.- Conduct internet research on assigned topics and present findings to the MD for informed decision-making.Personal Assistance:- Assist in arranging travel, accommodations, and restaurant reservations for the MD.- Manage personal errands and tasks delegated by the MD efficiently.- Coordinate home-related tasks such as repairs, deliveries, or personal bookings to support the MDs personal life.Employee & Stakeholder Relations:- Serve as the primary point of contact for the MD, fostering positive relationships with employees.- Build strong professional connections with team members to ensure a seamless workflow.- Address and resolve any resistance from employees regarding task follow-ups promptly.In addition to the above responsibilities, the company offers cell phone reimbursement as a benefit for this full-time position. The preferred educational qualification is a Bachelors degree with at least 3 years of relevant work experience. The work location for this role is on the road, requiring flexibility and adaptability to support the MD effectively.
