Planning Managing work allocation for processors as per client needs Providing contigency plan to manage volumes in case of absenteeism Service Delivery ( Docketing and Trademark Services, Paralegal, Invoice Mgt, Post Grant Support Review correspondence received via ( e- mail, shared site) and decide whether due date / activity needs to be created in IPMS or a query needs to be routed to client/ agent/ designated authority Prioritise allocated work to complete in a given day Based on action taken in above step a report out e- mail is created and sent to the client Work done is reviewed by Quality Analyst before reporting to the client Acknowledge completion of work to supervisor / clients through work allocation tool / Time Tracking Systems ( TTS) Client Management Respond to client queries ( e- mails) based on SOP Send e- mails to client seeking clarification on certain tasks Attend conference calls with client to support the supervisor with process related inputs Managing client mailbox i. e. ensuring timely responses to all client e- mails / queries Managing change ( s) as per the client requirement ( s) / business needs Process Improvements Identification of process improvement opportunities Suggesting alternate solutions Evaluating feasibility of implementation Testing and implementing the solutions Incorporating process updates into procedures and drafting procedures / manuals / SOP for new tasks / client instructions Proactively identifying procedural gaps and taking required actions Mentoring, Training, Query Resolution Feedback Resolving queries for team members in order to process tasks for client / agent Taking corrective action by reversing incorrect actions and stopping any incorrect documents from going to clients / agents Mentoring / training new team members during on the job training ( OJT) / BAU activities Provide verbal and written feedback on error committed during processing Identify error trends and suggest training needs to supervisors The long term success of our business relies on our people feeling a part of what were doing.
