Job Description

    The Back Office Staff is responsible for supporting front office operations by handling administrative, clerical, and operational tasks. This role involves maintaining records, managing data entry, coordinating with various departments, and ensuring smooth day-to-day operations. The Back Office Staff plays a crucial role in ensuring the organization runs efficiently behind the scenes.Key Responsibilities:
    1. Administrative Support:
      • Perform data entry, file management, and documentation tasks.
      • Maintain and update organizational databases and records.
      • Handle correspondence, emails, and internal communication.
    2. Operational Support:
      • Assist in processing and verifying documents, invoices, and other business-related paperwork.
      • Coordinate with various departments to ensure timely completion of tasks.
      • Monitor and manage office supplies inventory and procurement.
    3. Customer Support:
      • Provide backend support to the customer service team by preparing reports and responding to escalated issues.
      • Process customer requests, complaints, and inquiries through internal systems.
    4. Reporting and Analysis:
      • Generate periodic reports for management on key operational metrics.
      • Assist in analyzing data to identify trends or areas for improvement.
    5. Compliance and Accuracy:
      • Ensure all documentation and processes comply with company policies and regulations.
      • Maintain accuracy and confidentiality of sensitive information.
    6. Coordination:
      • Act as a liaison between the front office and other departments to streamline workflows.
      • Support project management activities by tracking deliverables and deadlines.
    7. Technology Usage:
      • Operate office equipment such as printers, scanners, and photocopiers.
      • Use office software (e.g., MS Office, CRM, ERP systems) to complete assigned tasks.
    Qualifications and Skills:
    • Education:
      • High school diploma or equivalent (required).
      • Bachelors degree in Business Administration, Management, or a related field (preferred).
    • Experience:
      • Prior experience in administrative or back-office roles (preferred).
    • Technical Skills:
      • Proficiency in MS Office Suite (Excel, Word, PowerPoint) and data management tools.
      • Familiarity with CRM or ERP software is a plus.
    • Soft Skills:
      • Strong organizational and time-management skills.
      • Excellent written and verbal communication abilities.
      • Attention to detail and ability to handle multiple tasks efficiently.
