Job Description

    Head AdministrationKey Roles & Responsibilities1. Office AdministrationResponsible for smooth day-to-day administration of Head Office and project offices.Maintain proper office discipline, attendance, housekeeping, seating arrangement, visitor management, office timing, and staff support system.Ensure all office facilities such as electricity, internet, drinking water, housekeeping, pantry, stationery, security, and maintenance are properly managed.Implement standard office rules, approval systems, and administrative SOPs.2. Site Administration SupportCoordinate with project sites for accommodation, fooding, transport, gate pass support, labour colony, staff rooms, guest house, vehicle arrangement, and local administrative requirements.Ensure timely support to sites during project mobilization, shutdown jobs, emergency manpower movement, and senior management visits.Maintain daily coordination with Project Managers, HR, IR, Safety, Commercial, and Procurement teams.3. Accommodation & Guest House ManagementManage guest houses, staff accommodation, labour accommodation, hotel booking, room allocation, housekeeping, food quality, water supply, pest control, repair and maintenance.Ensure proper discipline and hygiene in company-provided accommodation.Maintain room-wise occupancy records, guest house expenses, vendor bills, and monthly cost reports.4. Transport & Vehicle ManagementManage company vehicles, hired vehicles, drivers, fuel records, vehicle maintenance, insurance, permits, logbooks, and monthly vehicle billing.Ensure proper transport planning for staff, workers, airport/railway pickup-drop, site movement, and client visits.Control diesel/fuel consumption and verify vehicle bills before submission to accounts.5. Vendor & Facility ManagementIdentify, negotiate, and manage vendors for housekeeping, security, transport, hotels, guest houses, office maintenance, stationery, pantry, courier, civil repair, electrical maintenance, and other administrative services.Ensure vendor bills are checked properly with supporting records before forwarding to accounts.Maintain approved vendor list and service-level expectations.6. Cost Control & BudgetingPrepare monthly admin budget for office, site, accommodation, vehicles, travel, facility maintenance, and general administration.Monitor administrative expenses and reduce unnecessary cost leakage.Submit monthly MIS for admin cost, vehicle cost, accommodation cost, guest house cost, repair cost, and site support cost.7. Travel & Logistics ManagementManage travel bookings, hotel arrangements, flight/train tickets, local transport, client visit arrangements, and senior management movement.Ensure timely and cost-effective travel support for company employees and management.Maintain proper records of travel expenses and approvals.8. Security & Compliance CoordinationCoordinate security arrangements at office, guest house, store, site accommodation, and project locations.Support HR/IR team for police verification, ID cards, gate pass coordination, labour entry support, and local authority coordination wherever required.Ensure company assets, documents, stores, vehicles, and facilities are protected.9. Asset & Inventory ManagementMaintain records of company assets such as furniture, computers, printers, office equipment, ACs, vehicles, guest house items, electrical items, and other admin assets.Ensure proper tagging, issue-return system, repair tracking, and asset verification.Coordinate with accounts for fixed asset records.10. Event & Management Visit CoordinationManage company events, client visits, senior management meetings, board visits, project review meetings, cultural programs, annual functions, and official gatherings.Ensure professional arrangements for seating, food, hospitality, branding, stage, transport, and guest handling.11.
