Job Description

    Front Desk Executive, also known as a Front Office Executive or Receptionist, is responsible for creating a positive first impression and managing the front office operations. They greet visitors, answer phones, handle inquiries, and perform various administrative tasks to ensure smooth daily operations.Key Responsibilities: Greeting and Welcoming: Creating a positive and professional first impression by greeting visitors and clients in a friendly and welcoming manner.Phone Management:Answering and directing incoming calls, taking messages, and ensuring efficient communication flow.Information Management:Providing information about the company, its services, and directing visitors to the appropriate personnel or departments.Administrative Support:Performing tasks such as managing mail, coordinating deliveries, maintaining files, and handling basic data entry.Maintaining the Reception Area:Keeping the reception area tidy, organized, and stocked with necessary supplies.Scheduling and Coordination:Assisting with appointment scheduling, meeting room bookings, and travel arrangements.Security:Monitoring visitor access, maintaining logbooks, and ensuring adherence to company security protocols.Handling Inquiries and Complaints:Addressing visitor inquiries, resolving complaints, and escalating issues to the appropriate personnel when needed.Record Keeping:Maintaining accurate records of visitor information, mail, and other relevant documents.Supporting Staff:Providing support to other team members with administrative tasks and special projects.Maintaining Stationery and Supplies:Ensuring the front desk is adequately stocked with necessary stationery and office supplies.
