Job Description

    Main Responsibilities:
    • Strategic Planning:
      • Identify opportunities for operational efficiency and cost savings within the administrative functions.
      • Prepare and manage the administration departments budget, ensuring optimal allocation of resources.
    • Facilities Management:
      • Oversee the maintenance and security of all offices, guest houses, equipment, and other facilities.
      • Manage vendor relationships and contracts related to facilities, utilities, and maintenance services.
      • Ensure compliance with health, safety, and environmental regulations.
    • Administrative Operations:
      • Supervise administrative staff, providing guidance and training
      • Manage office supplies and inventory, ensuring adequate availability and cost-effective procurement.
      • Oversee the management of office services, including reception, mail, and courier services.
      • Handling legal matters on behalf of directors & the company.
      • Car maintenance, Renewal, purchase and sell of cars
      • Arranging company branding shirts as per approval for employees.
    • Travel Desk:
      • Plan, book, and manage travel arrangements including flights, accommodations, car rentals, and other transportation for employees, ensuring compliance with the companys travel policies and budget constraints
      • Assist with visa applications, travel insurance, and other travel-related documentation
    • IT and Communication Systems:
      • Coordinate with IT to ensure the smooth operation of the organizations technology infrastructure.
      • Oversee the implementation and maintenance of communication systems, including phones, internet, and email.
    • Human Resources Support:
      • Assist in organizing company events, meetings, and training sessions.
      • Support HR in managing employee relations and maintaining a positive work environment.
    • Communication and Reporting:
      • Serve as a point of contact for internal and external stakeholders on administrative matters.
      • Prepare and present reports on administrative activities, budgets, and performance metrics to senior management.
